It is for this reason that we are dedicated to hiring the most qualified staff to uphold our standards of care.We have an exciting opportunity available on our team for a Patient Access Specialist.Position Overview:The Patient Access Specialist on our team serves as the primary point of contact and resource for the front desk team at our physical and occupational therapy clinic.This role is essential to creating a positive first impression, ensuring smooth patient scheduling, accurate insurance verification, and efficient communication between patients, therapists, and administrative staff. The ideal candidate is detail-oriented, friendly, and thrives in a fast-paced, team-oriented environment.Key Responsibilities:Patient Check-In:· Greet all patients and visitors with professionalism and warmth, creating a welcoming environment.· Verify patient information, including personal details, insurance details, and medical history, to ensure accurate records.· Assist new patients with filling out necessary forms and provide guidance on required documentation.· Ensure patient privacy and compliance with HIPAA regulations during the check-in process.· Schedule new and returning patient appointments while optimizing therapist schedules.· Answer incoming calls, emails, and inquiries promptly and courteously.· Collect copayments and outstanding balances in accordance with clinic policy.Appointment Scheduling:· Coordinate patient appointments efficiently, considering the availability of therapists.· Utilize the office's electronic health record (EHR) system to manage schedules, update patient information, and track appointment statuses.· Reschedule appointments when necessary and inform patients of any changes in their appointment times.Insurance Verification:· Verify insurance benefits and coverage prior to the patient’s visit, and communicate financial responsibilities clearly.· Obtain and track authorizations or referrals when required.· Ensure all patient information is entered accurately into the electronic medical record (EMR) system.· Maintain compliance with HIPAA and other privacy regulations.· Support billing and administrative staff with data entry, documentation, and patient account follow-up as needed.Patient Check-Out:· Process patient check-out after their appointments, ensuring all required documentation is completed accurately.· Collect co-pays, deductibles, and outstanding balances as necessary.· Provide patients with information on follow-up appointments, prescriptions, and any additional instructions.Compliance and Confidentiality:· Adhere to all relevant healthcare regulations, including HIPAA, to protect patient privacy and maintain confidentiality.· Stay informed about changes in insurance policies, coding, and billing practices to ensure compliance with industry standards.Team Collaboration· Communicate effectively with therapists, aides, and management to ensure smooth daily operations.· Report workflow challenges, scheduling conflicts, or patient concerns to the Lead Patient Access Specialist or Associate Director.· Participate in staff meetings, training sessions, and quality improvement initiatives.· Assist in maintaining a clean, organized, and efficient front office environment.Qualifications and Requirements:· High school diploma or equivalent.· Previous experience in an orthopedic medical office setting or a related field preferred.· Knowledge of medical terminology, insurance procedures, and electronic health records (EHR) systems.· Familiarity with insurance verification, authorizations, and patient scheduling.· Proficiency in using computer software and basic office equipment.· Strong communication and interpersonal skills, with the ability to interact effectively with patients, staff, and physicians.· Detail-oriented and capable of multitasking in a fast-paced environment.· Empathetic and compassionate attitude towards patients and their healthcare needs.· Ability to handle confidential information with utmost discretion.· Willingness to learn and adapt to changes in the healthcare industry.· Ability to multitask, prioritize, and remain calm under pressure.Position Relationships:This position does not supervise any other employees and receives supervision from the office manager on administrative and other matters.Administrative Support:Duties and responsibilities may be added, deleted, or changed at any time at the discretion of the Administrator or the Board, formally or informally, either verbally or in writing.Physical Requirements:· Requires sitting for extended periods with frequent standing, walking, and bending.· Must be able to view and enter data into a computer for extended periods.· Must be able to communicate via telephone.· Must have dependable transportation.Core Competencies· Attention to Detail· Adaptability & Initiative· Patient-Centered Service· Team Collaboration· Professional Communication· Patient-Centered Service· Accuracy & Accountability· Problem-SolvingJob Type: Full-time, On-SiteBenefits:We offer competitive pay, medical, vision, dental, life, disability, 401(k), and paid time off.Schedule:Monday - Friday, 7:00 a.m. - 7:00 p.m.8 hour shifts can vary if you are assigned to open or close with possibility of a Saturday rotationAdditional Requirements:· Must pass a background check and drug screen.M-F 7:00 AM to 7:00 PMHours can vary if you are assigned to open or closePossibility of Saturday rotation
