What are the responsibilities and job description for the Diagnostic Imaging Scheduling Specialist position at Vermont Diagnostic Imaging?
At Vermont Diagnostic Imaging (VDI), we’re nine months in and gaining momentum. We are growing and we’re continuously refining how we deliver a better, more personal healthcare experience. We are currently looking for a Medical Office Specialist who takes pride in their work, is attentive to details, and enjoys being a reliable, friendly presence that both patients and teammates can count on.
This is more than a front desk role. You’ll be a central part of the daily flow of the practice to help ensure each patient interaction is smooth, welcoming, and handled with care. You’ll also play a key role behind the scenes, helping us stay organized, efficient, and improving our level of service.
At VDI, we value consistency, accountability, and a positive, team-first attitude. We’ve created a close-knit environment where people show up for each other, take ownership of their work, and contribute to a shared goal of delivering excellent patient care.
We also believe in true work–life harmony—predictable daytime hours with no nights, weekends, call, or holidays—so you can bring your best self to work and still have time for life outside of it.
What You’ll Do:
- Greet and check-in patients with professionalism, warmth, and attention to detail.
- Answer phones, manage scheduling, and handle patient inquiries efficiently and accurately.
- Proactively call patients and referring providers to schedule and confirm imaging appointments.
- Verify insurance eligibility, confirm benefits, and collect payments/co-pays/deductibles, etc.
- Maintain accurate and up-to-date patient records in the electronic health record (EHR)
- Prepare and review patient paperwork prior to exams.
- Monitor incoming faxes and emails, ensuring timely follow-up on referrals.
- Clearly communicate exam prep instructions (e.g., fasting, hydration).
- Help maintain a clean, organized, and smoothly running front office.
What You Bring:
- Experience in a medical front office and scheduling (required).
- Experience in Radiology scheduling preferred.
- Strong organizational skills and a high level of attention to detail.
- A dependable, self-motivated work style—you take initiative and follow things through.
- Clear, professional communication and a friendly, patient-centered approach.
- Comfort with EHRs, insurance processes, and multitasking.
- A team-oriented mindset and willingness to jump in where needed.
Why You’ll Love Working Here:
- Per Diem | Part Time | Full-Time options.
- Potential for part-time or full-time status in the future
- Predictable daytime hours (no nights, weekends, call, or holidays)
- Starting Pay: $22-$27/hour
- 4 weeks PTO Holidays off competitive benefits (with full-time status)
If you’re someone who values doing things well, being part of a dependable team, and creating a positive experience for every patient who walks through the door, we’d love to hear from you.
