The Program Coordinator is responsible for the successful coordination and execution of exchange programs, including the International Visitor Leadership Program (IVLP), youth exchanges, custom initiatives, and fee-for-service programs. This position requires strong organizational, interpersonal, and communication skills to ensure high-quality programming and efficient resource management. Under the supervision of the President & CEO, the Program Coordinator oversees logistical, administrative, and financial arrangements, fostering a collaborative and dynamic work environment while maintaining professionalism and cultural competency.

Responsibilities:
Program Development and Implementation
• Plan and execute international exchange programs (IVLP, youth exchanges, custom and fee-for-service programs)
• Manage program logistics, participant experience, and partner coordination
• Develop and manage program budgets and timelines
• Support proposal development and actively identify new program and partnership opportunities aligned with VCWA’s mission, including fee-for-service and custom exchange initiatives, with attention to sustainability and revenue generation
Administrative and Logistical Support
• Maintain databases of partners, host families, and community resources
• Arrange program logistics, such as accommodations, ground transportation, resource meetings, and cultural activities.
• Track program expenditures and support reporting requirements
• Assist in troubleshooting logistical challenges to ensure seamless program delivery.
Membership, Marketing and External Engagement
• Contribute to membership growth through outreach, engagement, and follow-up
• Execute marketing campaigns (email, social media, web) to drive participation in programs and events
• Track engagement metrics (event attendance, membership conversion, campaign performance)
• Maintain and actively manage CRM (Salesforce) for members, partners, and program contacts
• Support sponsorship and partnership development through research and coordination
• Work closely with program staff to translate exchange programs into broader community engagement and membership opportunities.
Other Duties
• Attend and participate in occasional evening and weekend events.
• Address emergencies and resolve issues as needed outside regular work hours.
• Undertake additional responsibilities as assigned by the President & CEO.
Qualifications
Required
• Bachelor’s degree or equivalent experience
• Strong organizational and project management skills
• Excellent written and verbal communication skills
• Ability to manage multiple priorities in a fast-paced environment
• Experience with Microsoft Office and familiarity with CRM and email platforms
• Demonstrated interest in global affairs and cross-cultural engagement
Preferred
• Experience with U.S. State Department exchange programs
• Experience in membership organizations, marketing, or nonprofit development
• Familiarity with federal grants and reporting
• Experience living, studying, or working internationally
• Foreign language skills
