Key Responsibilities
- Onboarding & Orientation:
- Lead and facilitate comprehensive new hire orientation from start to finish.
- Complete all pre-hire requirements, including OIG checks, license verification, background checks, and drug screenings.
- Process I9 forms and E-Verify submissions accurately and in a timely manner.
- Ensure new hires complete Relias Learning modules during orientation and report completion to Regional HR.
- Report all new hires and completion statuses to Regional HR.
- Assist with multi-language resources (English/Spanish/other) for orientation materials where applicable.
- Employee Programs & Support:
- Administer the Ambassador Program, including leading the program, participating in bi-weekly calls with Regional HR, maintaining a stocked and up-to-date binder, and conducting new hire check-ins.
- Provide employees with FAMLI paperwork and information, notify Regional HR, and assist with premium payments.
- Provide benefit guides and 401K information to employees transitioning to full-time status, directing inquiries to appropriate contacts (Jamie) and including Regional HR on communications.
- Compliance & Administration:
- Support Workers' Compensation processes by ensuring all department heads have supplied and up-to-date folders with appropriate paperwork and instructions, collecting incident reports, and informing Regional HR as directed.
- Assist with payroll-related tasks, including pushing out reminders for time-off requests and punch change requests.
- Notify Regional HR regarding employee terminations.
- Create Personnel Action Forms (PAFs) and ensure Regional HR is assigned as the final approver.
- General HR Support:
- Assist with various recruiting efforts as needed.
- Maintain organized and compliant HR records, both electronic and physical.
- Provide administrative support to the HR department and Regional HR.
- High School Diploma or equivalent required; Associate's or Bachelor's degree in Human Resources or related field preferred.
- 1-2 years of experience in an HR administrative or assistant role, preferably within a healthcare or skilled nursing facility setting.
- Proficiency with HRIS systems, electronic record-keeping, and Microsoft Office Suite (Word, Excel, Outlook).
- Experience with I9 and E-Verify processes.
- Familiarity with Relias Learning or similar LMS platforms is a plus.
- Excellent organizational skills and meticulous attention to detail.
- Strong verbal and written communication skills; bilingual (English/Spanish) is a significant asset.
- Ability to handle sensitive and confidential information with discretion.
- Proactive, self-motivated, and able to manage multiple priorities effectively.
