Job Description:
The Cancellations Clerk is responsible for processing cancellation requests for vehicle service contracts with a focus on accuracy, compliance, and customer satisfaction. This role ensures that all cancellations are handled in accordance with provider guidelines, underwriting policies, and regulatory requirements. The ideal candidate is detail-oriented, customer-focused, and experienced in high-volume administrative processing. Job Responsibilities:
· Process cancellation requests for vehicle service contracts from customers, dealers, or financial institutions.
· Verify contract details and eligibility, calculate pro-rated refunds, and ensure proper disbursement to appropriate parties.
· Maintain accuracy in contract system updates and ensure compliance with provider and state regulations.
· Serve as a single point of contact for all cancellation-related inquiries, ensuring clarity, professionalism, and timely resolution.
· Collaborate with internal teams including Accounting, Client Support, and Underwriting to streamline processing and resolve discrepancies.
· Communicate clearly and courteously with dealerships, lienholders, and customers regarding cancellation status, refund timelines, and next steps.
· Document all actions and maintain complete and organized records in line with audit and reporting standards.
· Proactively identify and escalate potential issues or inconsistencies in cancellations or contract data.
· Support process improvements to enhance efficiency, accuracy, and customer satisfaction.
Job Requirements:

· Excellent organizational skills and attention to detail.

· Knowledge of vehicle service contracts, GAP coverage, and related cancellation regulations is preferred.
· Previous experience in an administrative, training, customer service, or technical role is preferred.
· At least 2 years of experience in data entry, customer service, call center, or similar is required.
