Medical Assistant and Phlebotomist

The Medical Assistant / Clinic Coordinator will work directly with me to oversee the day-to-day operations of the clinic. This is a highly visible, patient-facing role that requires both strong clinical expertise (including advanced phlebotomy) and administrative excellence. The ideal candidate is proactive, dependable, and passionate about helping patients feel valued, supported, and cared for at every step.

 

Key Responsibilities

Clinical Duties

  • Greet and room patients, obtain vitals, review/update medication lists, allergies, and health history.
  • Prior to each patient visit, ensure that the latest labs have been updated in the “problem list.”
  • Perform venipuncture and phlebotomy (including challenging draws) confidently and skillfully.
  • Administer vaccines, injections (Prolia, Repatha, GLP-1 agonists, and point-of-care testing per physician direction (Strep/Flu/COVID).
  • Assist with procedures and ensure exam rooms are prepared, stocked, and organized.
  • Keep inventory lists of all items that are stocked and need to be stocked in the clinic.
  • Accurately document and update patient charts in the EMR.
  • Maintain infection control and safety standards.
  • Cleaning/Sanitization of exam rooms and lab area. 

 

Administrative & Patient Coordination

  • Serve as the first point of contact for patients: manage calls, emails, and portal messages promptly and professionally.
  • Stay on track of all incoming messages from doc into your portal to keep track of and complete any necessary tasks assigned. 
  • Coordinate scheduling, confirm appointments, and ensure smooth patient flow.
  • Assist patient with appointments outside of our clinic, if a referral was made. 
  • Handle medication prior authorizations, referrals, and follow-up care coordination.
  • Receive, e-fax, and file outside records into the EMR.
  • Track lab and imaging results, ensuring timely communication to patients and the physician.
  • Address patient questions, complaints, or concerns with problem-solving and service recovery skills.
  • Follow up calls to certain  patient to check up on their health status, especially post-op

Clinic Operations

  • Open the clinic at 8:00 AM for early lab appointments; close clinic at 5:00 PM.
  • Monitor and maintain inventory; order and stock supplies proactively to avoid shortages. Must be completed during spare time (before 4 pm) 
  • Keep the clinic clean, organized, sanitized and ready for patient care.
  • Use the clinic iPad to check the patient in and update all vitals and go over medication and vaccination list to ensure all is up-to-date. 
  • Support special projects to improve processes and enhance patient experience.
  • Be a supportive team member at certain community events to promote the clinic and its business. 
  • Ensure HIPAA compliance and protect patient confidentiality at all times.

 

Qualifications

  • Certification: Certified Medical Assistant (CMA, RMA, or equivalent) and Phlebotomy certification required.
  • Experience: Minimum 3–5 years in a medical office (concierge or primary care experience preferred).
  • Clinical Skills: Strong phlebotomy ability (including with difficult draws); experience with immunizations and patient vitals.
  • Technical Skills: Proficient in Microsoft Word, Excel, EMR systems, and electronic faxing.
  • Customer Service: Excellent interpersonal and communication skills; ability to manage challenging situations with professionalism. Prefer someone with an outgoing personality who knows how to connect with patients. These are long-term clients. 
  • Knowledge: Medical terminology, HIPAA compliance, insurance processes (prior auths, referrals).
  • Other Requirements: Current BLS certification; reliable, punctual, and flexible with scheduling.
  • Salary: Starting at $43,000 annually (salaried, full-time).
