Summary: The Assistant Center Director (ACD) supports the Center Director in the day-to-day operations of an assigned Verbal Beginnings Center, with primary responsibility for overseeing the Operations Coordinators and the Scheduler assigned to the center. The ACD ensures that scheduling, staff productivity, technician performance, attendance, and the day-to-day operational workflows of the center run efficiently and align with Verbal Beginnings' standards. The ACD partners with the Center Director and Clinical Directors to drive a positive, accountable, and engaging workplace culture, uphold the VB Pledge of Care, and meet targets across service delivery hours, staff utilization, employee retention, billing compliance, and operational excellence. In the Center Director's absence, the ACD serves as the on-site operational lead.

Responsibilities

Essential Functions

Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.

  • Directly supervise the Operations Coordinators and Scheduler assigned to the center, providing day-to-day coaching, performance management, and removal of barriers to optimal performance.
  • Hold Operations Coordinators accountable for technician readiness, productivity, engagement, and performance — including onboarding completion, training compliance in Docebo, RBT certification timelines, and Cultural Fitness Tracker documentation within the first 90 days.
  • Ensure the monthly schedule is accurate, fully utilized, and adjusted promptly for client cancellations, staff call-outs, and new client starts.
  • Monitor staff utilization and service delivery hours against center targets and partner with the Operations Coordinators to address gaps in real time.
  • Oversee timely and accurate session conversion across the center; partner with the Financial Services team on the weekly unconverted session audit to ensure conversions are completed, and overlaps are corrected.
  • Oversee staff attendance tracking and ensure call-out, cancellation, and lateness data are captured accurately for KPI reporting.
  • Approve and audit PTO requests routed through the Operations Coordinators in ADP, ensuring requests are reviewed in line with the VBC policy and standards.
  • Partner with the Center Director on hiring for ABAT and admin roles.
  • Support the Center Director in enforcing VB and VBC policies through the Corrective Discipline and Performance Management process, including issuing and documenting Coaching Action Plans, Performance Improvement Plans, and Disciplinary Actions for direct reports and (in coordination with Clinical Supervisors) for technicians.
  • Support new client onboarding workflows alongside the Center Director and Clinical Director.
  • Conduct daily walk-abouts to spot-check classroom safety, cleanliness, and culture.
  • Manage direct reports — conducting weekly 1:1s, responding to feedback, recognizing strong performance through, and building action plans where engagement scores indicate concerns.
  • Lead or co-lead operational portions of center Town Halls, Pod Meetings, and team huddles in partnership with the Center Director and Clinical Director.
  • Serve as the operational point of contact in the Center Director's absence, including coordinating responses to staffing crises, inclement weather, reportable incidents, and other time-sensitive operational events.
  • Track and report on assigned KPIs — including ABAT productivity, technician retention, unconverted sessions, attendance, and engagement scores — and contribute to monthly center reviews.
  • Collaborate with HR, Talent Acquisition, Family Financial Services, Compliance, and Facilities to ensure operational policies and processes are followed accurately and on time.
  • Follow Verbal Beginnings, LLC's policies and procedures diligently.

Qualifications

Required Education and Experience

  • 2 years of operations or administrative leadership experience in Healthcare, ABA, Physical Therapy, Education, or a similar field.
  • 2 years of supervisory experience, with demonstrated success managing direct reports and driving team performance.
  • Working knowledge of scheduling, billing compliance, and staff productivity workflows in a multi-staff service setting.
  • Bachelor's degree, preferred.
  • Experience with CentralReach, Hi Rasmus, TheraDriver, Salesforce, or similar clinical/operational platforms, preferred.
