The Role
We're seeking an exceptional Executive Assistant to partner with our CEO during this pivotal growth phase. This role goes beyond traditional administrative support, you'll serve as a trusted partner, helping drive organizational effectiveness while managing complex stakeholder relationships across investors, board members, clinical partners, and internal teams. The ideal candidate thrives in fast-paced environments, anticipates needs before they're expressed, and brings a sophisticated understanding of the medical device industry landscape.
Key Responsibilities
Strategic Support & Operations
- Manage complex, ever-changing calendar with competing priorities across board meetings, investor relations, clinical site visits, regulatory milestones, and business development
- Prepare comprehensive briefing materials, presentations, and documentation for board meetings, investor updates, and strategic partner discussions
- Support preparation of investor materials and manage confidential fundraising communications
Stakeholder & Board Relations
- Serve as primary liaison between CEO and board of directors, managing communications, materials preparation, and meeting logistics
- Coordinate with investors, maintaining relationships and ensuring timely communication of company updates
- Facilitate communication between CEO and clinical advisory board members
- Manage relationships with key opinion leaders and clinical partners
Business Operations
- Coordinate executive leadership team meetings and strategic planning sessions
- Track and manage follow-up on action items from executive and board meetings
- Support business development activities including partnership discussions and due diligence processes
- Assist with preparation of materials for clinical conferences, industry events, and key customer presentations
Travel & Logistics
- Arrange complex domestic and international travel itineraries for clinical site visits, investor meetings, conferences, and business development
- Manage expense reporting and budget tracking
- Coordinate logistics for advisory board meetings and company events
Required Qualifications
- 5 years of experience as an Executive Assistant supporting C-level executives, preferably a CEO
- Medical device or healthcare technology industry experience strongly preferred
- Proven track record supporting executives through significant company milestones (fundraising, regulatory submissions, product launches)
- Exceptional organizational skills with ability to manage multiple complex projects simultaneously
- Outstanding written and verbal communication skills, with experience preparing board-level materials
- Absolute discretion handling confidential information including financial data, regulatory strategy, and investor relations
- Proficiency with Microsoft Office Suite, and project management tools
- Ability to work independently, anticipate needs, and solve problems proactively
Preferred Qualifications
- Experience supporting executives in startups or growth-stage companies
- Experience coordinating board meetings and investor relations activities
- Understanding of clinical trial operations and medical terminology
- Experience with CRM systems and investor relations platforms
- Background supporting executives in highly technical or scientific fields
