Venture Wellness is a growing self-pay integrative medical practice specializing in hormone optimization and metabolic health. We run structured, outcomes-driven programs with a high-touch patient experience.
We are hiring a Front Office & Growth Coordinator to serve as the face of the practice—someone who thrives on human connection, communicates with confidence, and enjoys converting interest into action.
This role blends front-desk reception, CRM operations, patient coordination, community engagement, and sales support. It is ideal for someone who is a natural “people person,” persuasive without being pushy, and energized by building relationships both inside and outside the clinic.
This is not a passive desk role.
Key ResponsibilitiesPatient Communication & Front Desk Operations
- Greet patients warmly and professionally in-office
- Answer inbound phone calls with confidence and clarity
- Schedule appointments and guide patients through next steps
- Respond to patient inquiries via phone, SMS, and email
- Ensure no leads or patients fall through the cracks
CRM & Systems Management (GoHighLevel)
- Manage CRM pipelines, tags, workflows, and follow-ups
- Track incomplete bookings, intake forms, and missed actions
- Maintain clean, accurate CRM data
- Support automation workflows (experience building automations is a major plus)
EMR & Intake Coordination
- Manage patient intake and documentation workflows
- Track intake forms, lab coordination, and appointment readiness
- Support EMR organization and follow-through
Community Engagement, Marketing & Sales Support

- Actively engage with prospective patients in person and on the phone
- Confidently explain services, programs, and next steps (no medical advice required)
- Support patient enrollment and conversion into programs and memberships
- Represent Venture Wellness at local events, partnerships, and community outreach
- Assist with newsletters, patient updates, promotions, and campaigns
- Support social media posting, event promotion, and local visibility efforts, experience with Capcut, social media management, and Canva a plus

Required Qualifications
Must Have
- Strong, confident phone and in-person communication skills
- Sales-minded, persuasive, and relationship-driven personality
- Experience with GoHighLevel or another CRM (hands-on use required)
- Experience in healthcare, wellness, or client-facing service environments
- Organized, proactive, and able to manage multiple moving pieces
- Comfortable initiating conversations and follow-ups
Preferred
- EMR experience (Optimantra a plus)
- Medical assistant, patient coordinator, or clinic admin background
- Community outreach, sales, or marketing experience
- Familiarity with HIPAA-compliant workflows
