Position Summary
Victory Staffing Allied Health Agency is seeking an experienced Healthcare Scheduler to manage and optimize daily staffing operations across home care and nursing home / facility environments. This role is responsible for recruiting support, scheduling, shift coverage, clinician/caregiver communication, client coordination, and compliance-related staffing documentation. The ideal candidate is organized, responsive, and confident working with CNAs/GNAs, CMTs, CMAs, LPNs, RNs, and/or home care aides in fast-paced staffing settings.
Key Responsibilities Scheduling & Coverage (Primary)
- Build, manage, and maintain weekly schedules for home care cases and facility shifts.
- Fill open shifts quickly using call/text/email outreach and staffing best practices.
- Confirm coverage, send shift reminders, and document call-outs, late arrivals, and replacements.
- Track staff availability, credentials, preferences, travel radius, and overtime limits.
- Support after-hours/on-call coordination as assigned (rotating schedule if applicable).
Client & Facility Coordination
- Communicate professionally with client contacts, facility schedulers, and case managers.
- Collect shift requirements (skills, location, hours, patient acuity, special instructions).
- Ensure accurate service details: location, start times, assignments, care plan notes, and reporting expectations.
- Resolve staffing escalations and maintain strong relationships with facility partners.
Staffing Operations & Documentation
- Maintain accurate staffing logs, shift confirmations, and assignment notes.
- Support compliance tracking: expirations (TB, CPR, physicals, licenses), background checks, and required in-services.
- Coordinate orientation/intro for new staff and ensure they understand timekeeping and reporting procedures.
- Assist with incident reporting workflows and documentation routing (as appropriate).
Timekeeping & Payroll Support
- Verify timesheets/EVV entries (if used), reconcile schedule vs. actual hours worked.
- Flag discrepancies, missed punches, and approvals needed for payroll deadlines.
- Communicate payroll expectations to staff and support timely corrections.
Recruiting Support (As Needed)
- Support recruiting pipeline by screening applicants, scheduling interviews, and coordinating onboarding steps.
- Maintain up-to-date candidate lists and readiness status.
Required Qualifications
- 2 years experience in staffing coordination for home care and/or nursing home/facility staffing.
- Strong working knowledge of caregiver/clinical roles (CNA/GNA, CMT, CMA, LPN, RN, HHA/PCAs).
- Excellent communication skills—comfortable with high-volume calls/texts and conflict resolution.
- High attention to detail and ability to prioritize urgent staffing needs.
- Proficient with scheduling tools and systems (examples: Excel/Google Sheets, scheduling software, EMR/EVV platforms, ATS, or CRM tools).
- Reliable internet and phone access for remote work; dependable transportation for weekly in-office day.
Preferred Qualifications
- Experience staffing in Maryland and familiarity with common facility expectations and credentialing.
- Bilingual (Spanish/Amharic/French preferred—optional).
- Experience with EVV (Electronic Visit Verification), home care scheduling platforms, or healthcare staffing systems.
- Comfort working in a metrics-driven environment (fill rate, call-out rate, overtime, attendance).
