Part-Time Outreach & Office Assistant

We are a small, locally owned healthcare practice in Ventura seeking a Part-Time Outreach & Office Assistant to support both office operations and community referral development. This role is ideal for someone with experience in a medical practice or healthcare setting, combined with marketing or community outreach experience within healthcare environments.
This position blends front-office coordination, patient and referral communication, and relationship-based outreach, similar to liaison and outreach roles commonly found in home health and outpatient practices.
Role Overview
The Outreach & Office Assistant supports daily operations through a combination of guaranteed office-based administrative work and additional outreach activities. The role includes scheduling, intake coordination, documentation support, and communication with patients, providers, and referral sources, as well as structured community outreach to healthcare partners.
Some work can be completed remotely, with local availability required for office support and outreach.
No clinical care or medical decision-making is involved.
Key Responsibilities
Office & Care Coordination Support (Guaranteed Hours)
Assist with scheduling and confirming patient appointments
Communicate with patients and families regarding appointments and care logistics
Obtain, organize, and maintain patient medical records and hospital summaries
Support intake and referral coordination
Manage and update patient information accurately and confidentially (HIPAA-compliant)
Coordinate physician orders, supply deliveries, and lab orders/results as directed
Communicate with home health agencies, facilities, and patients regarding care updates
Support general office workflows and administrative needs
Marketing, Outreach & Referral Support (Additional Opportunities)
Conduct in-person and relationship-based outreach to:
Home health agencies
Assisted living communities for older adults
Board and care facilities
Physician and medical offices
Build and maintain professional relationships with referral sources
Learn and clearly communicate information about our services using approved materials
Follow up with referral sources and support referral tracking
Meet a minimum amount of weekly outreach activity as mutually agreed upon by the employer and employee
Provide feedback on outreach effectiveness, referral trends, and community needs
Qualifications
Experience in a medical practice or healthcare setting strongly preferred
Marketing, community outreach, or referral coordination experience in healthcare or home health settings preferred
1–3 years of experience in wound care, home health, hospice, outpatient care, or healthcare operations is a plus
Background in nursing, medical assisting, allied health, or healthcare administration preferred
Well spoken, personable, and comfortable engaging with healthcare professionals and patients
Self-starter with strong initiative and follow-through
Strong documentation and communication skills
Comfortable working with EHR systems and basic office workflows
Organized, detail-oriented, and able to multitask effectively
Reliable transportation and valid California driver’s license
Flexible schedule and willingness to learn about our services and offerings
Local to Ventura or surrounding area

Schedule & Work Structure
Guaranteed minimum weekly hours dedicated to office and administrative support
Additional paid outreach hours available beyond guaranteed office hours
Minimum weekly outreach activity to be determined collaboratively by employer and employee
Approximately 8–12 hours per week to start, with potential to grow based on performance and practice needs
Hybrid schedule including remote administrative work and local in-person outreach
Reliability and responsiveness are essential, with flexibility built into scheduling
Compensation & Incentives
Hourly pay of $24–$28/hour for office support, depending on experience
Guaranteed minimum hours for office-based work
Tiered referral bonus structure for new patient referrals generated through outreach efforts:
$100 per referral for the first 1–5 new patient referrals per month
$150 per referral for each additional referral beyond 5 in the same month
A referral qualifies when a new patient schedules and completes an initial appointment as a direct result of outreach efforts
Referral bonuses are paid monthly following confirmation of completed visits
Mileage reimbursement for approved local travel
Paid training on internal workflows and wound-care coordination protocols
