As our Marina Administrative Coordinator, you'll be the organizational hub of our day-to-day office operations, helping keep administrative duties accurate while creating a welcoming experience for guests and supporting our operational team. From bookkeeping to contracts to boater communication and office coordination, you'll play a key role in the success of Venetian Marina.
Schedule & Availability
This is a full-time, year-round position working five days per week. To support our busiest months, team members must be available to work one weekend day (Saturday and/or Sunday) during the marina peak season and some summer holidays.
Daily Duties
- Maintain accurate bookkeeping records, including accounts payable, accounts receivable, deposits, reconciliations, and daily financial reporting.
- Process invoices, payments, and account updates.
- Monitor outstanding balances and past due accounts.
- Manage contracts, billing questions, and guest / vendor correspondence.
- Ensure files remain accurate, complete, and up to date.
- Respond to phone calls, emails, and walk-in inquiries in a professional and timely manner.
- Communicate marina policies, seasonal updates, and important announcements to boaters.
- Assist in resolving guest concerns with professionalism and a positive attitude.
Qualifications
- Data entry accuracy combined with proofreading skills to ensure error-free documentation.
- Strong organizational skills with excellent time management abilities.
- Office experience including front desk responsibilities and clerical support.
- Ability to handle confidential information responsibly and with integrity
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and computer literacy skills.
