Position Overview
Veltex Recovery Group is seeking an organized, dependable, and business-minded Business Manager to oversee the day-to-day business operations of our women's residential recovery center.
This position is responsible for ensuring the organization operates efficiently while maintaining sound financial stewardship and operational excellence. The Business Manager will oversee payroll administration, monitor operating expenses, manage purchasing and inventory, coordinate vendor services, support staff operations, improve business processes, and help ensure organizational resources are used responsibly.
The ideal candidate is a proactive leader with excellent organizational and financial management skills who understands the importance of accountability, confidentiality, cost control, and exceptional operational performance.
Primary ResponsibilitiesBusiness Operations
- Oversee the day-to-day business operations of the recovery center.
- Ensure efficient, organized, and accountable daily operations.
- Develop, implement, and improve operational workflows and business processes.
- Coordinate operational activities among departments to promote efficiency.
- Ensure organizational policies and operational procedures are consistently followed.
- Identify operational challenges and implement practical solutions.
- Assist executive leadership with strategic operational initiatives.
Payroll Administration
- Manage the facility's payroll process in coordination with executive leadership and the organization's payroll provider.
- Review employee time records for completeness and accuracy before payroll submission.
- Track regular hours, overtime, paid time off, leave, bonuses, deductions, and payroll adjustments.
- Work with supervisors to resolve missing punches, scheduling discrepancies, and timekeeping issues.
- Submit payroll accurately and within established deadlines.
- Maintain confidential payroll records and employee timekeeping documentation.
- Coordinate new hire payroll setup, wage adjustments, promotions, and employee separations.
- Respond to routine employee payroll and timekeeping questions.
- Assist with payroll reporting, reconciliation, and documentation.
- Immediately report significant payroll discrepancies or compliance concerns to executive leadership.
- Ensure payroll administration complies with company policies and applicable laws.
Financial Stewardship & Cost Control
- Monitor operating expenses and promote responsible financial management.
- Review purchases to ensure expenditures are necessary, reasonable, and properly authorized.
- Identify opportunities to reduce waste and improve operational efficiency.
- Assist leadership in maintaining department budgets.
- Prepare operational and financial reports as requested.
- Monitor recurring expenses and identify cost-saving opportunities.
- Promote responsible stewardship of company assets and resources.
Purchasing, Inventory & Vendor Management
- Manage purchasing for facility operations, office supplies, food service, household products, equipment, and other business needs.
- Maintain appropriate inventory levels while minimizing unnecessary expenditures.
- Coordinate relationships with vendors, contractors, and service providers.
- Obtain competitive pricing and evaluate vendor performance.
- Coordinate facility maintenance and repair requests.
- Monitor vendor contracts and communicate renewal or pricing concerns to leadership.
Staff Leadership & Administrative Management
- Provide day-to-day operational leadership and support to staff.
- Coordinate employee scheduling and workflow.
- Promote professionalism, accountability, teamwork, and customer service.
- Assist with employee onboarding and operational orientation.
- Coordinate meetings and internal communications.
- Maintain organized operational records, payroll files, reports, and business documentation.
- Track assignments, deadlines, and operational follow-up items.
- Support executive leadership with administrative and business projects.
Facility Oversight
- Help ensure the recovery center remains safe, organized, clean, and well maintained.
- Coordinate routine maintenance and facility service needs.
- Monitor the condition and proper use of company property and equipment.
- Identify facility concerns before they become operational or financial problems.
- Support emergency preparedness and business continuity efforts.
QualificationsRequired
- High school diploma or equivalent.
- Minimum of three years of management, supervisory, or business operations experience.
- Demonstrated experience with payroll administration or employee timekeeping.
- Experience managing purchasing, inventory, vendors, budgets, or operational resources.
- Strong organizational, communication, and leadership skills.
- High level of professionalism and discretion when handling confidential employee and financial information.
- Proficiency with Microsoft Office, spreadsheets, email, and standard business software.
- Valid driver's license.
