VELA is a fast-growing, founder-led brand looking for a highly adaptable, proactive Executive Assistant & Office Operations Manager to support our Co-CEO and help keep our office, operations, and day-to-day execution running smoothly.
This is a hands-on, in-office role for someone who thrives in a startup environment, enjoys wearing multiple hats, and can shift priorities quickly as needs arise. You’ll be a trusted right hand, supporting leadership, owning office operations, and jumping in wherever support is needed to keep momentum moving.
This role requires full-time, in-person availability in our Santa Ana office, Monday–Friday.
Salary range: $55,000–$65,000 annually, based on experience.
What You’ll Do
- Act as a right-hand support to the Co-CEO, managing calendars, scheduling, and daily priorities
- Handle a mix of executive, administrative, office, and operational support as needs arise
- Own day-to-day office operations, organization, supplies, and vendor coordination
- Coordinate meetings, projects, product movement, and internal logistics
- Support photoshoots, sample organization, inventory tracking, and office workflows
- Assist with special projects across design, marketing, and operations
- Step in quickly to solve problems, anticipate needs, and keep things moving
- Handle sensitive information with discretion and professionalism

Requirements
- Prior experience as an Executive Assistant, Office Manager, Operations Assistant, or similar
- Strong Google Workspace skills (Calendar, Gmail, Docs, Sheets)
- Ability to manage multiple workstreams in a fast-paced environment
- Reliable transportation (local errands and pick-ups required)
- Must live locally and commute daily to our Santa Ana office
