The role of Events Manager is responsible for planning and execution of the Vehlo’s Tier 2 and 3 events, with additional responsibilities of managing materials and assets as it relates to those events. Reporting to the Director of Events, you will collaborate closely with cross-functional teams to ensure successful event execution.

About This Role
The role of Events Manager is responsible for planning and execution of the Vehlo’s Tier 2 and 3 events, with additional responsibilities of managing materials and assets as it relates to those events. Reporting to the Director of Events, you will collaborate closely with cross-functional teams to ensure successful event execution.
What You’ll Do:
- Event Management:
- Plan and coordinate trade shows and events, focusing on third-party industry trade shows and regional conferences.
- Prepare event materials, including registrations, booth kits, giveaways, collateral, and signage, ensuring they are aligned with brand standards and optimized for the booth activities.
- Monitor and manage event budgets by tracking expenses, reconciling costs, and ensuring timely vendor payments, with an emphasis on adhering to budget guidelines.
- Communicate event details by sharing information with internal stakeholders and hosting pre- and post-event meetings, gather feedback, and summarize results.
- Provide on-site management during events when needed.
- Assist with Tier 1 events as directed.
- Material & Asset Management
- Oversee management of event assets, promotional items, and materials requiring approximately 3 to 4 on-site visits to Tulsa office per year; or if local, expect 4-8 hours in office for event asset management.
- Coordinate the shipping and receipt of materials, ensuring accuracy, timely delivery, and efficient returns.
- Research, recommend, and procure new promotional items and materials to enhance brand presence.
What You’ll Need:
- Bachelor's degree
- 2 years of experience in event planning.
- 2 years proven experience working in a high-performance B2B organization.
- Excellent communication skills with the ability to work under pressure and meet strict deadlines.
- Strong project management skills with the ability to manage multiple projects simultaneously.
- Detail-oriented and committed to operational excellence.
- Ability to perform physical tasks, including lifting up to 40 lbs., setting up displays, and assisting with on-site logistics and large shipments.
- Willingness to travel up to 20%, including the possibility of weekend and evening work to support live events.
- Experience managing budgets and vendor relationships.
- Familiarity with event technology and tools.
