Position Overview
The Sales & Events Executive Assistant plays a critical dual role in supporting our Lead Sales Representative and Project Manager by coordinating client communications, managing lead and event data, and assisting with office operations.
This hybrid position is perfect for someone who thrives in fast-paced environments, loves being organized, and wants to grow into a leadership role in the event industry. You’ll serve as the connective tissue between our sales, planning, and operations teams.
Key Responsibilities
Sales Support
- Assist Lead Sales Representative with daily sales operations and follow-ups
- Track, organize, and respond to incoming leads via CRM (17hats)
- Help prepare proposals, contracts, and sales materials
- Research new business opportunities (venues, planners, DMCs)
- Schedule and confirm walkthroughs, client calls, and meetings
- Help manage marketing databases and lead forms
- Attend occasional networking events, open houses, or trade shows
Event Coordination & Office Support
- Support Project Manager with weekly event planning and execution tasks
- Assist in assigning staff and vendors to events
- Help maintain and update internal checklists and workflows
- Handle administrative tasks: emails, scheduling, filing, printing, etc.
- Make follow-up calls to clients or vendors
- Participate in internal operations meetings and brainstorming sessions

Preferred Qualifications

- Bilingual (English/Spanish) preferred
- Professional communication skills, both written and verbal
- Available for occasional weekends (especially Saturdays)
Schedule
- Monday–Friday (some flexibility in start/end times)
- Saturdays as needed (rotational or pre-scheduled)
- Up to 40 hours per week
