Job Description:
The Pharmacy Operations Senior Representative will be responsible for processing supplier delivery receipt information, ensuring accurate documentation, and resolving delivery discrepancies. This role requires close coordination with the receiving department, purchasing, and suppliers. Additionally, the position involves handling product recalls, approving invoices for payments, assisting with physical inventories, and managing product returns. This role supports work performed for a federal client.
Key Responsibilities:
Verify, review, and process all receipt data and receiving paperwork/documentation in the perpetual inventory system.
Release purchase orders (POs) and ensure accurate shipment information.
Resolve shipment and supplier discrepancies, including missing PO numbers, incorrect labeling, missing totes/bottles, and mis-scanned items.
Communicate and log all short-dated products, overages, shortages, and damaged items from incoming POs.
Coordinate with receiving supervisors, buyers, and suppliers to address inventory discrepancies and update inventory systems.
Review and approve supplier invoices within the required time frame to ensure prompt payments and receipt of discounts.
Maintain records of credits and invoices, respond to accounting queries, and update the Accounts Payable issue log.
Act as the primary contact for issue resolution between the receiving department, purchasing, inventory team, and suppliers.
Manage product ID transfers and coordinate with CFIM to resolve shipment and pricing discrepancies.
Serve as the primary point of contact for handling product returns, managing excess/damaged inventory, and processing recall requests.
Required Skills & Qualifications:
Proficiency in Microsoft Office Suite (Word, Outlook, Excel, and Access).
Strong ability to meet deadlines and handle multiple tasks efficiently.
Excellent communication skills for collaboration with internal and external stakeholders.
Detail-oriented with experience in inventory management, receiving, and warehouse operations.
Intermediate proficiency in operating office equipment.
Education & Experience:
High school diploma or equivalent required.
3 – 5 years of relevant experience preferred, particularly in receiving, inventory management, or warehouse operations.
Non-Negotiable Skills:
Strong computer skills and ability to work with inventory systems.
Effective communication skills.
Ability to meet deadlines consistently.
