Job Description
Veda House is a growing psychiatric wellness practice committed to providing exceptional patient care through modern, efficient operations. We are seeking an experienced Office Manager to provide strategic oversight and ensure seamless practice management.
The Office Manager serves as the operational leader of the practice, overseeing financial management, billing operations, compliance monitoring, and vendor coordination. This role requires strong analytical skills, attention to detail, and the ability to manage multiple operational priorities while maintaining the highest standards of professionalism and patient care.
Key Responsibilities
- Review and reconcile automated billing reports and financial statements
- Manage complex billing scenarios and exception cases
- Oversee third-party billing coordination and processing
- Conduct weekly financial audits and resolve discrepancies
- Monitor outstanding patient balances and payment plans
- Process payroll and manage financial workflows
- Monitor and maintain office staff and business compliance
- Oversee inventory management and vendor coordination for medications, supplies, and equipment
- Ensure chart completion and documentation compliance standards
- Coordinate provider schedules and facilitate staff meetings
- Troubleshoot system and platform operational issues
- Clinical and technical support for office treatments as needed
- Manage internal communications and workflow prioritization
- Coordinate between clinical staff and administrative operations
- Prepare meeting agendas and maintain operational documentation
- Identify and implement process improvements
Qualifications
Required:
- 2 years of experience in medical office management or healthcare administration
- Strong knowledge of medical billing, insurance, and revenue cycle management
- Proficiency with electronic health records and practice management systems
- Excellent organizational and time-management abilities
- Outstanding written and verbal communication skills
- Working knowledge of HIPAA regulations and patient confidentiality requirements
Preferred:
- Experience in psychiatric or behavioral health settings
- Background in staff compliance and credentialing
- Familiarity with integrated practice management platforms
Schedule/Pay
Monday to Thursday
Please note: Starting rate during training period is $20-$25/hour, with increase to $25-$30/hour upon completion of training. All rates are competitive and commensurate with experience.
