Client Service Representative

At VCA Castle Hills Companion Animal Hospital , we are passionate about providing compassionate, high-quality veterinary care to both our patients and the people who love them. Our Client Service Representatives play a vital role in creating a welcoming, supportive experience for every client who walks through our doors or calls our hospital.

Position Summary

The Client Service Representative (CSR) is the first point of contact for our clients and serves as a key liaison between pet owners, veterinarians, and support staff. This role requires exceptional communication skills, professionalism, empathy, and the ability to multitask in a fast-paced environment.

Key Responsibilities

• Greet clients and pets warmly in person and over the phone

• Schedule appointments and manage the hospital’s appointment flow

• Answer incoming calls, address client inquiries, and relay messages accurately

• Process payments, estimates, and invoices with accuracy

• Communicate treatment plans and hospital policies clearly and compassionately

• Maintain accurate client and patient records

• Support the medical team by ensuring smooth front-desk operations

• Handle sensitive or emotional situations with empathy and professionalism

Qualifications

• Previous customer service experience required (veterinary or medical field preferred)

• Strong communication and interpersonal skills

• Ability to remain calm, organized, and professional in a busy environment

• Compassion for animals and their owners

• Basic computer skills and ability to learn practice management software

• Team-oriented mindset with a positive attitude.
