Client Service Representative (CSR)

VCA Encina Veterinary Medical Center is seeking a compassionate, organized, and team-oriented Client Service Representative (CSR) to join our hospital team. As the first point of contact for our clients and patients, our CSRs play a vital role in creating a welcoming, professional, and supportive experience for both pets and their families.

What You’ll Do
- Greet clients and patients warmly upon arrival
- Manage a multi-line phone system with professionalism and efficiency
- Schedule appointments accurately based on patient and client needs
- Check patients in and out using our practice management system (PMS)
- Process payments including credit cards, cash, and CareCredit
- Maintain accurate client and patient records
- Request and organize medical records from referring hospitals
- Recognize emergency situations and alert medical staff immediately
- Maintain a clean and organized reception, lobby, and phone area
- Support doctors and medical staff with communication and administrative tasks
- Confirm appointments and communicate updates with clients as needed
- Assist with opening and closing duties
- Excellent customer service and communication skills
- Ability to remain calm and compassionate in emotional or high-pressure situations
- Strong organizational and multitasking abilities
- Basic medical terminology knowledge preferred
- Comfortable learning veterinary software systems and procedures
- Ability to work collaboratively with a team
- Professional demeanor and positive attitude
- Attention to detail and accuracy
- Flexibility to assist wherever needed to support hospital operations
- Ability to stand for extended periods
- Ability to kneel, bend, and squat as needed
- Ability to lift 20 pounds
