The Role

We are seeking a charismatic and highly professional Front Desk Coordinator to be the "face" of our brand. The ideal candidate is polished, impeccably groomed, and brings a welcoming, high-energy presence to our corporate office. You will be responsible for creating a stellar first impression for clients, VIPs, and visitors.

We are looking for a career Receptionist. Someone who takes pride in being the steady, welcoming presence of an organization and who values long-term stability in a professional environment.

As the first voice clients hear and the first face they see, you set the emotional tone for their experience. Many of our clients are anxious, overwhelmed, or uncertain. Your calm confidence, emotional intelligence, and professionalism will help put them at ease.

Responsibilities

  • Front-of-House Management: Maintain a flawless, welcoming, and tidy reception area.
  • First Impression Ambassador: Greet clients with a warm, professional, and engaging demeanor.
  • Visitor Liaison: Manage visitor check-ins, providing a high-end, hospitable experience.
  • Executive Support: Handle front-facing interactions with high-level clients and stakeholders.
  • You should be friendly and professional on the telephone and in-person
  • Clients are dealing with massive stress and anxiety. You should be empathetic and help put them at ease
  • You should treat a caller or visitor to the firm at 4:30 pm on Friday with the same care and compassion as one on Monday morning at 9 am
  • Family Law is messy, and there is often no right or best answer. Even gathering the information can be difficult. You will need to be creative, organized, and efficient to do your job well
  • A penchant for accuracy and attention to detail is required
  • You are a representative of the firm and the first (possibly the only) interaction a visitor has with the staff in our office. Your ability to make a positive impression is a critical component of your job
  • Answer phone calls and emails and communicate relevant information to the appropriate parties
  • Make appointments for employees and ensure the calendar is current and correct
  • Complete other administrative duties as needed such as data entry, paperwork, photocopying, etc.
  • Assure incoming and outgoing mail is managed appropriately and handle deliveries

Qualifications

  • Outstanding personal presentation and grooming as the first in-person contact with clients or potential clients
  • Exceptional communication skills with a charismatic personality
  • Professional demeanor under pressure
  • Must be energetic, happy, and willing to learn and adapt to new systems and procedures
  • Has experience answering telephone calls and troubleshooting stressful situations
  • Must be able to lift and carry up to 25 pounds
  • Must have graduated high school, received a G.E.D. or equivalent; College Degree Preferred
  • 1 year of experience as a receptionist, administrative assistant, guest service specialist, or similar position preferred
  • Experience in high-end hospitality, sales, or corporate reception strongly preferred
  • Excellent interpersonal skills to build instant rapport, organizational skills, customer service skills
  • Has previous experience with word processing programs and basic computer skills
