Senior Order Fulfillment Specialist

The Senior Order Fulfillment Specialist leads the day-to-day execution, strategic coordination, and operational oversight of customer orders from booking through fulfillment. This role serves as a key operational anchor and senior liaison between cross-functional teams and Contract Manufacturers (CMs) to ensure complex orders progress smoothly according to customer commitments and high-level business goals.

The ideal candidate is an experienced, highly organized, and proactive leader who excels at navigating high operational complexity, driving cross-functional alignment, resolving critical escalations, and continuously refining fulfillment processes in a fast-paced environment.



Order Fulfillment Execution

• Oversee and manage high-priority, strategic customer order backlogs throughout the end-to-end fulfillment lifecycle.
• Drive alignment between customer request dates, shipment commits, material availability, and operational readiness.
• Proactively identify risks, systemic bottlenecks, material shortages, and delays across orders, establishing mitigation plans before customer impact occurs.
• Ensure backlog notes, commits, milestones, and status updates are maintained accurately.
  
  

CM Coordination

• Serve as the senior operational contact for Contract Manufacturers (CMs), driving partner accountability, capacity alignment, and performance standards.
• Follow up on shipment commits, ASN tracking, and fulfillment readiness.
• Manage and resolve high-level execution gaps, critical risks, and supply issues directly with CM leadership and internal stakeholders.
• Partner with CM teams to resolve operational issues impacting customer deliveries.
  
  

Cross-Functional Coordination

• Lead cross-functional synchronization with Order Management, Supply Base Management, Sales, and RevOps to optimize fulfillment workflows and key customer deliverables.
• Coordinate site survey/BOM readiness, shipment scheduling, customer priorities, and fulfillment dependencies.
• Ensure accurate communication of shipment timelines and fulfillment status with sales.
  
  

Escalation & Risk Management

• Proactively identify fulfillment risks before customer impact occurs.
• Drive timely follow-up and issue resolution across stakeholders.
• Lead executive escalations and manage key high-value customer orders, driving cross-team consensus and rapid solution deployment.
  
  

Operational Excellence

• Spearhead process improvement initiatives to enhance fulfillment efficiency, data visibility, scalability, and execution quality.
• Identify recurring operational friction points and design scalable frameworks or recommendations for leadership implementation.
• Help improve reporting accuracy and operational documentation.
  
  

Qualifications

• Order Fulfillment Experience:
• 5-7 years of progressive experience in order fulfillment, supply chain operations, or logistics leadership.
• Organizational and Detail-Oriented:
• Exceptional attention to detail with strong organizational and analytical skills.
• Process-oriented mindset.
• Proven track record of managing complex, high-priority order flows and critical escalations.
• Customer Service and Sales Focus:
• Customer service and sales-centric approach.
• Technical Skills:
• Proficient/advanced in GSheet/Excel (pivots, charts, xlookup).
• Strong oral and written communication skills.
• Initiative and Innovation:
• Ability to identify problems and offer solutions.
• Desire to innovate and contribute fresh ideas to improve operational processes and positively impact other departments.
