Location: Charlotte, NC (Hybrid – Local Candidates Only)
This is a hybrid position requiring residency in the Charlotte area. The selected candidate will work both remotely and on-site at the race shop as needed for meetings, planning sessions, and key operational activities.
Position Summary
The Controller will play a critical role in managing all aspects of the team’s financial operations. This includes oversight of accounting functions, cash flow management, vendor relations, payroll, compliance, and human resources administration. The ideal candidate will possess strong financial acumen, operational discipline, and the ability to work in a fast-paced, team-oriented environment.
Key Responsibilities
Financial Management & Reporting
- Oversee all accounting functions in QuickBooks, including invoicing, payroll, expenses, and cash flow management.
- Maintain and optimize the Chart of Accounts to accurately reflect operational structure.
- Reconcile expenses, receipts, and travel-related costs, ensuring timely and accurate reporting.
- Forecast and monitor cash flow, coordinating with ownership to meet operational needs.
- Align financial processes with team operations in partnership with leadership.
Payroll & Expense Administration
- Administer payroll for full-time and contract staff, ensuring compliance with state and federal regulations.
- Manage per diem programs and reconcile team credit card transactions.
- Maintain accurate documentation to support expense reporting and reimbursements.
Vendor & Client Billing Oversight
- Establish and manage vendor accounts, including credit applications and direct billing arrangements.
- Negotiate favorable terms and rates with key suppliers and service providers.
- Process and code invoices accurately to appropriate budget categories.
- Manage client invoicing and rebilling processes to ensure timely payment collection.
Compliance & Regulatory Management
- Partner with external accounting firms on quarterly and year-end financial reporting, as well as tax filings.
- Maintain compliance with multi-state reporting requirements and LLC filings.
- Oversee DOT compliance and related transportation documentation.
- Manage insurance policies and COIs for all team assets and equipment.
Human Resources & Benefits Administration
- Oversee onboarding, offboarding, employee records, and policy documentation.
- Administer health insurance enrollments, renewals, and terminations.
- Support leadership in employee relations and compliance with labor regulations.
Motorsports Operational Integration
- Align financial planning with race and test schedules.
- Manage vendor relationships specific to motorsports operations (e.g., tires, fuel, trackside services).
- Support the team in responding to operational changes impacting budgets, including travel and equipment needs.
Qualifications
- Bachelor’s degree in Accounting, Finance, or related field (CPA preferred).
- Minimum of 5 years of professional accounting experience.
- Advanced proficiency in QuickBooks, Excel, and financial management tools.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities.
- Excellent communication skills with both technical and non-technical stakeholders.
- Motorsports experience preferred but not required. A basic understanding of the industry or a demonstrated ability to learn quickly is expected.
