Job description:
We are seeking a dynamic and highly organized Executive Personal Assistant our CEO. The ideal candidate will be able to provide exceptional administrative support to the CEO, ensuring seamless communication and efficient day-to-day operations. The successful candidate will have a keen eye for detail, excellent organizational skills, and a professional demeanor.Duties
- Manage and maintain detailed calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements while anticipating needs and conflicts.
- Provide executive administrative support by preparing correspondence, reports, presentations, and proofreading documents for accuracy and clarity.
- Coordinate projects and events from inception through completion, including planning logistics, booking venues, managing vendor relationships, and ensuring deadlines are met.
- Handle phone etiquette with professionalism on multi-line phone systems, screening calls, taking messages, and directing inquiries appropriately.
- Perform office management duties such as filing, data entry, bookkeeping using QuickBooks, and maintaining organized digital and physical filing systems.
- Support personal tasks for executive including transcription of notes or dictation via typing or transcription tools like DocuSign for document signing.
- Assist with clerical responsibilities such as front desk reception duties, customer service interactions, office supply management, and general administrative support to ensure operational efficiency.
Experience
- Proven experience as an executive personal assistant or in a similar administrative role with at least several years of office management experience.
- Demonstrated proficiency in Microsoft Office Suite (Word, Excel PowerPoint), Google Workspace applications, and data entry tools.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment while maintaining attention to detail.
- Experience coordinating events or projects from planning stages through execution.
- Familiarity with bookkeeping software such as QuickBooks along with basic bookkeeping knowledge.
- Excellent communication skills—both verbal and written—with professional phone etiquette.
