PURPOSE
The Executive Assistant to the CEO & CFO serves as a strategic partner and trusted extension of the executive leadership team. This role is responsible for maximizing the effectiveness of both the Chief Executive Officer and Chief Financial Officer by managing priorities, protecting time, and ensuring seamless execution of day-to-day operations.
Operating with a high level of autonomy, judgment, and discretion, this role acts as a gatekeeper, facilitator, and connector across the organization. The Executive Assistant ensures alignment across leadership, anticipates needs, and enables both executives to remain focused on the highest-impact opportunities.
This is a hybrid role based out of our support center located at 7100 E Belleview Ave Suite 303, CO Corporate Office, Colorado 80111.
KEY RESPONSIBILITES AND COMPETENCIES
Executive Partnership & Prioritization
- Serve as a strategic partner to the CEO and CFO, helping prioritize time, focus, and energy against key business objectives
- Proactively manage and optimize complex, dynamic calendars across both executives, ensuring alignment and minimizing conflicts
- Act as a gatekeeper, making informed decisions on meeting requests, scheduling trade-offs, and competing priorities
- Anticipate needs and remove friction from day-to-day workflows
Strategic Communication & Alignment
- Serve as a central point of coordination between the CEO, CFO, and senior leadership team
- Ensure clear, timely communication of priorities, updates, and follow-ups across stakeholders
- Draft and refine high-level communications on behalf of executives
- Represent executives in meetings when appropriate, capturing key insights and ensuring follow-through
Meeting & Leadership Rhythm
- Drive preparation for executive meetings, leadership sessions, board-related engagements, and finance-related meetings
- Ensure both executives are fully prepared with relevant context, materials, and key talking points
- Capture notes, decisions, and action items, ensuring accountability and follow-through
- Help maintain consistent leadership and financial operating rhythms
Execution & Operational Support
- Coordinate complex domestic travel for both executives, including flights, accommodations, ground transportation, and detailed itineraries
- Ensure all travel is optimized for efficiency, productivity, and adaptability, anticipating contingencies and last-minute changes
- Prepare comprehensive travel briefs, including schedules, contacts, meeting context, and logistics
- Manage executive-level events, offsites, board meetings, and key external engagements
- Handle sensitive and confidential information with the highest level of professionalism
- Prepare presentations and materials for leadership meetings, board discussions, and financial reviews

QUALIFICATIONS
- 5 years' experience supporting C-level or senior executives in a fast-paced organization
- Experience supporting multiple executives simultaneously preferred
- Bachelor's Degree preferred
- Demonstrated ability to operate with discretion, sound judgment, and autonomy
- Exceptional organizational and time-management skills
- Strong written and verbal communication skills
- Proven ability to manage competing priorities at the executive level

WORKING CONDITIONS
Primary work in a fitness facility and office setting. Temperature variations can occur. The environment includes some ambient noise such as talking and use of gym equipment and machinery.
PHYSICAL AND MENTAL ACTIVITIES AND REQUIREMENTS
- Talking: Especially where one must frequently convey detailed or important instructions or ideas accurately, loudly, or quickly.
- Physical Strength: Sitting, standing, and walking. Must be able to lift, push, pull, and move a minimum of 30 pounds.
- Reasoning Ability: Ability to deal with a variety of variables under limited standardization. Able to interpret various instructions and relay instructions to clients.
- Attendance is an essential duty of the position. Employees must work regularly scheduled shifts, during business hours to assist members and sell services in-person.
