Position Description
Position: Coordinator of Education and Recreation Programs
Department: Programs -Programming

Reports to: Director of Education and Recreation Programs

The Coordinator of Education and Recreation Programs is responsible for planning and organizing all aspects of assigned programs within the department including: Saturday Day Camp, Adult Social Club, Weekend Retreats, and other programs to be identified during the academic year. Additionally, the Coordinator of Education and Recreation will be responsible for planning and organizing all aspects of Summer Day Camp and Overnight Camp. The Coordinator will maintain communication with the Director of Educational and Recreational Programs ensuring that all curricula for various programs are relevant, appropriate, and engaging for program participants. The Coordinator of Education and Recreation will also ensure that all operations associated with the development and maintenance of programs under their area of supervision are carefully and thoughtfully managed, with a keen eye for detail and commitment to quality. The Coordinator is responsible for communicating in collaboration with his/her supervisor with ODP, private SC’s, families, clients, and other stakeholders to ensure a high quality of service provided by all staff. The Coordinator will actively participate in the recruiting, interviewing, hiring, and training of appropriate staff for the programs under their supervision. The Coordinator of Education and Recreation is expected to work the hours their programs are actively operating, including nights and weekends, when necessary, as this is an exempt position. This position will also support the Director of Educational and Recreational Programming across all Educational and Recreational Programs not listed in this job description.

Essential Functions Ensure the health and safety of participants during all programs.

  • Provide a positive experience for participants, as well as staff.
  • Plan and organize all aspects of assigned programs including scheduling timelines, hiring, training, curriculum development, program facilitation/monitoring, subbing for staff as needed, and record keeping.
  • Manage planning timeline of action steps for all assigned programs
  • Maintaining program spaces during and after programs
  • Recruit and train staff for assigned programming
  • Oversee and ensure that curricula for assigned programs are appropriate, relevant, and engaging. Procure needed supplies and materials in advance of program.
  • Develop weekly rosters
  • Deliver roster and program information each week to supervisor
  • Secure staff each week to comply with ratios
  • Facilitate weekly staff meetings before assigned program
  • Maintain updated knowledge of participant allergies, medications, and other needs
  • Distribute approved weekly parent communication (formal)
  • Supervise program staff
  • Maintain consistent, continual parental communication and support (as needed)
  • Conduct interviews with new families prior to first day in program
  • Provide direct care and behavior supports to clients as needed.
  • Maintain daily documentation and ensure compliance with ODP and OVR funding streams.
  • Prepare all documentation and ensure that notes, reports, and receipts are completed for billing
  • Collect time sheets (bi-weekly)
  • Responsible for maintenance and management of UltraCamp operations including: building sessions, forms, templates, managing and tracking payments, creating, moving, and cancelling reservations, and parent support.
  • Attend trainings as necessary to acquire and maintain certifications.
  • Support the Director of Educational and Recreational Programs, as needed.
  • Other duties as assigned.

Non-Essential Functions

  • Attend relevant workshops or join professional groups as necessary to maintain professional knowledge and licensure.
  • Attends relevant staff meetings to promote communication and execution of goals.
  • Participate in assigned events that may occur after regular business hours and weekends.
  • Completes special projects specific to the function of the department or as needed for the department as directed by supervisor.
  • Other duties as assigned within the scope of position expectations.

  • Understanding of legal criteria for issues such as confidentiality, child abuse, and mandated reporter requirements.
  • Ability to provide nonviolent intervention with a high level of ethical standards of conduct, cultural sensitivity and within appropriate boundaries and limits.
  • Ability to effectively use standard office equipment.
  • Possesses strong interpersonal skills as demonstrated by courteous, cordial, cooperative, and professional interaction with diverse groups of co-workers, external business partners, and the community.
  • Ability to operate a computer and use a variety of common software programs including Microsoft Office, and customized databases.
  • Adheres to all Variety and departmental policies and procedures.
  • Attends all Variety in-services as required.
  • Strong written and verbal communication skills and effectively communicate with individuals and groups.

Experience, Education, and Licensure

Minimum Experience: 2 to 3 years of experience with individuals with disabilities. Supervisory experience preferred. Experience in recreational programming preferred. Proficient in Outlook, Word and Excel for communications and billing.

Minimum Education: BS or BA in related field.

Other Requirements:

  • Valid Driver’s License - Job will be located in Worcester, PA.
