Summary: We are looking for an organized, detail-oriented Administrative & Accounting Assistant with hands-on bookkeeping experience to support daily administrative operations. This role will handle accounts payable and accounts receivable, record bank and credit card transactions, process expense reports; all of which to help ensure accurate, timely financial records and smooth month-end close. Additionally, this role will provide HR and payroll support.
Key Responsibilities:
- Process accounts payable: enter bills, obtain approvals, process payments, maintain vendor files and W-9s
- Manage accounts receivable: create and send invoices, apply customer payments, monitor aging, follow up on past due accounts
- Support HR with onboarding, payroll and other administrative tasks
- Assist Finance & Accounting with daily tasks or ad hoc hands-on work
- Process and review employee expenses
- Respond to internal and external accounting inquiries promptly and professionally
Qualifications:
- 2 years of bookkeeping/accounting support experience (AP/AR, reconciliations, GL)
- Proficiency with accounting software, QuickBooks preferred, and Microsoft Excel (pivot tables, VLOOKUP/similar)
- Understanding of standard accounting procedures
- High attention to detail, accuracy, and confidentiality
- Strong organizational and time management skills; ability to meet close deadlines
- Clear written and verbal communication skills
Preferred Qualifications:
- Experience with AP/expense tools (e.g., Bill.com, Expensify, Concur)
- Associate or bachelor’s degree in accounting, finance, or related field (or equivalent experience)
Desired, but not Required:
- Experience with PAYCOM payroll platform
- Managing social media accounts
