Overview
The Payment Posting Specialist is responsible for accurately posting and reconciling all incoming payments to patient accounts within the practice management system. This role supports the revenue cycle by ensuring payments, adjustments, and credits are applied correctly and efficiently. The Payment Posting Specialist works closely with internal billing teams, finance staff, and patients to resolve payment discrepancies, research missing information, and maintain the integrity of accounts receivable.
As part of Vanguard Skin Specialists’ billing team, this position contributes to maintaining a high-performing revenue cycle while delivering excellent service to both internal teams and patients.
Duties and Responsibilities
Payment Posting & Reconciliation
- Post electronic and paper third-party insurance payments to patient accounts.
- Post incoming patient payments, including electronic and manual transactions.
- Process unapplied patient payments and ensure proper allocation to accounts.
- Self-audit posted payments to ensure accuracy and compliance with billing standards.
Account Research & Resolution
- Research payments to obtain missing Explanation of Benefits (EOBs).
- Review and resolve patient credit balances, including submitting refund requests to the Finance team when appropriate.
- Review outstanding accounts and process dismissals due to delinquency when applicable.
Collaboration & Team Support
- Provide billing support to internal and external customers via phone calls, billing help desk requests, and billing team email.
- Participate in team workshops and assist with departmental projects.
- Support the billing team through collaboration and participation in periodic patient collection outreach efforts.
- Contribute to maintaining efficient workflows and continuous improvement of billing processes.
Experience
- Previous experience within a healthcare billing or revenue cycle team preferred.
- Payment posting experience is strongly preferred.
- Full revenue cycle experience is a plus.

Technical Requirements
- Minimum typing speed of 50 words per minute.
- Experience working with healthcare billing systems and electronic payment platforms preferred.

Reviews
Vanguard Skin Specialists believe in providing regular feedback and encouraging professional development. Your first check-in with HR will be approximately 90 days from your date of hire. Written annual reviews take place each fall. For individuals with <6 months of tenure by fall review but >6 months tenure at spring review, then the initial review will take place in the spring review. You will receive training for your role, and you will be expected to take Vanguard courses and/or quizzes to remain employed and progress.

Schedule
This is a full-time, 40-hour, position with business hours Monday to Friday. This position is based out of Colorado Springs and offers 1 remote day per week, post training completion.
Compensation & Benefits
Compensation is $20.00-$22.75 an hour (based on experience) with eligibility for overtime and paid time off. The practice covers a portion of the premium for medical benefits and offers vision, dental, and 401K. Physical Working Conditions
- Must be able to remain in a stationary position 90%
- The other 10% occasionally move about inside the office to access file cabinets, office printer, etc.
- Operate a computer and other office machinery, such as a calculator, printer, copier, scanner, or fax
- Be able to communicate accurately, effectively, and frequently
- Can identify color on the computer and software used
