Real Estate Analyst

Job Summary:

Administers the existing and growing number of leases within the organization's portfolio under occasional guidance. Negotiates new leases and/or amendments tied to expansion of existing sites and/or new office or clinic sites. Supports lease portfolio maintenance and negotiations tied to affiliated entities as well as leases and subleases in which the organization is the Landlord or Sublandlord.

  • Rent Payment - To set up VUMC Rent Payment: this position will be assigned a significant portion of the VUMC lease portfolio for the purpose of rent payment. It requires establishing recurring POs for the life of the Leases (this alone requires collaboration with individual Departments, Procurement; Disbursements, Landlords and Approvers). Each time a lease is amended and/or renewed, the PO must be revisited by this team member. Also, each time a Common Area Maintenance reconciliation is finalized, the PO is revisited with the Procurement Office by this team member.
  • Audit and Reconciliation of Common Area Maintenance for Leases –This position will be assigned a significant portion of the annual Common Area Maintenance reviews.
  • Part-time Leases - To coordinate the gathering of information from internal stakeholders and third party landlords to both set up and maintain part-time leases.

This position also shares responsibility in the following tasks:

  • Negotiation of New Leases and/or Modifications of Existing Leases including Renewals;
  • Tracking of Key Dates - Using the Harbor Flex tool, tracks key dates and prompts internal stakeholders in a timely fashion;
  • External Consultants - coordinates with external consultants as needed to gather independent reviews of market comparables and to conduct market surveys as needed;
  • Property Tours - Leads off-site property tours in Nashville and/or other markets;
  • Property Management - Resolves property management issues which can arise as it relates to VUMC as Tenant;
  • Lease Documents - coordinates VUMC lease document execution by individual Landlords and abstracts fully executed lease documents;
  • Subleases - negotiates subleases as needed;
  • Understanding VUMC Rights and Obligations - assists internal Departments in understanding VUMC’s rights and obligations as it relates to specific leases;
  • Vanderbilt Network Services Coordination - routinely coordinates activities with other internal groups (such as Vanderbilt Network Services) when setting up a new lease location and/or renewing an existing location

Department/Unit Summary:

VUMC Real Estate is the central point of contact (internally and externally) for access to VUMC organizational expertise in leasing, acquisition of property, sale of property, and oversight of their-party landlord property management for VUMC leased properties. As such this office is responsible for setting up rent payment and review of annual reconciliations for all VUMC leases.

Additional Key Elements/ Responsibilities:

  • Coordinates requests for new and renewal of full and part-time space leases.
  • Coordinates and negotiates amendments to leases and subleases on owned or leased space. Resolves property management issues.
  • Implements and maintains centralized tracking database. Maintains, organizes, and distributes leases to necessary parties.
  • Reviews departments annual operating expenses and coordinates with Landlords to seek additional information.
  • Generates other documentation and memorandums instrumental to real estate projects.

Real Estate Contracts (Advanced)

  • The preparation, monitoring and management of the contracting processes as well as individual contracts. May include contract specifications, evaluation of bid proposals, and purchase requisitions.

Contract Negotiations (Intermediate)

  • Demonstrates an understanding of negotiating skills such as building trust, gaining commitment, managing the opposition and maintaining goodwill. Realizes the need for mutual concessions and accommodations and negotiates with others for resources, actions or buy in to maximize collaborative outcomes.

Database Knowledge (Intermediate)

  • Knowledge and understanding of a database and how data is organized so that its contents can easily be accessed, managed, and updated.

Position Qualifications:

Bachelor's Degree (or equivalent experience) and 3 years relevant experience

Physical Requirements/Strengths needed & Physical Demands:
