This position provides support to the Foster Care/Licensing/Adoptions Unit by performing administrative and clerical duties to support the work of the social workers in performing their job functions. Process payment invoices, track children in DSS custody and placement authority, complete paperwork, handle incoming client phone calls, and perform other duties as assigned by the Social Work Program Administrator and DSS leadership.
Regular office hours are Monday through Friday; 8:30am to 5:00pm. Extra hours may be required to complete work assignments.Key updates to the Child Placement and Payment System and SIS Database
II. Conduct background checks on perspective adoptive or foster parents
III. Organize and distribute mail and case paperwork. Assist with filing paperwork as needed.
IV. Retrieve gas card receipts from the county cars every month and match them with invoices provided byfinance
V. Answer and direct internal and external phone calls
VI. Send and respond to e-mails
VII. Maintain monthly reporting logs for foster care statistics and face to face visits
VIII. Complete payment request for invoices provided by foster care placement providers
IX. Make schedules for Permanency Planning Reviews and mail out notices
X. Check fax machine throughout the day and distribute any received faxes
XI. Refill paper trays in office copier and fax machine
XII. Organize and execute the annual Christmas Cheer program
XIII. Maintain and organize hard copies of court documents
XIV. Breakdown closed foster care files and place them in the file room
XV. Retrieve records from the file room when necessary
XVI. Provide backup coverage for the CPS PA-V
XVII. Perform other duties as assigned by the agency director to include emergency duty and assisting with displaced children and/or adultsKNOWLEDGES, SKILLS AND ABILITIES
Substantive knowledge of office or work unit procedures, methods and practices.
Substantive knowledge of and ability to use correct grammar, vocabulary, spelling, proofreading and office terminology to compose and/or proofread correspondence, reports and materials.
Substantive knowledge of accounting procedures, applicable mathematics and their application in the work environment.
Skill in communicating effectively both orally and in writing.
Considerable ability to record, compile, summarize and analyze data.
Considerable ability to review and process information to determine conclusions, actions or compliance with applicable laws, rules or regulations.
Considerable ability to analyze work situations and interpret program content in making decisions and explaining policies, regulations and programs.
Considerable ability to exercise judgment, discretion and negotiation skills in problem situations.
Ability to learn, interpret and explain policies, regulations and programs.
Ability to independently respond to inquiries and coordinate a variety of resources in acquiring and disseminating information.
May require ability to train and manage a group of employees.
MINIMUM TRAINING AND EXPERIENCE
Graduation from high school and demonstrated possession of knowledges, skills and abilities gained through at least three years of office assistant/secretarial experience; or completion of a two-year secretarial science or business administration program with one year of responsible experience as described above; or an equivalent combination of training and experience.Please Note:
