Position Overview
The Account Representative serves as the primary liaison between Van Gogh School Photographers and assigned school partners, managing approximately 100 active accounts. This role is responsible for coordinating all aspects of school photography services—from initial scheduling through final delivery—while ensuring a high level of accuracy, organization, and customer satisfaction.
This position requires strong communication skills, exceptional attention to detail, and the ability to manage multiple workflows simultaneously in a fast-paced, high-volume environment.
Key Responsibilities
Account Management & Client Relations
- Serve as the main point of contact for assigned schools, building and maintaining strong, professional relationships
- Respond to a high volume of emails and inquiries in a timely and professional manner
- Provide guidance to schools on scheduling, product offerings, and photography processes
- Ensure all client needs and expectations are clearly communicated and met
Scheduling & Event Coordination
- Coordinate and manage school photography schedules including:
- Fall Picture Day
- Retake Days
- Sports Photography
- Specialty Sessions (Graduation, Events, etc.)
- Confirm all logistics, timelines, and requirements with schools and internal teams
- Adjust schedules as needed to accommodate changes while minimizing disruption
Order & Product Management
- Ensure all products (digital and print) are accurately set up and ordered for each job
- Verify pricing, packages, and product offerings align with school agreements
- Monitor order workflows to ensure timely and accurate processing
Data & File Management
- Maintain and organize both digital and paper records related to each account
- Manage multiple tracking lists and ensure all data is accurate and up to date
- Ensure proper handling of student data, image files, and job information
Workflow Coordination & Internal Communication
- Act as a central resource for internal departments (lab, customer service, data team, photographers, etc.)
- Answer questions and provide direction on job-specific workflows and requirements
- Collaborate across departments to ensure smooth execution from photo day through delivery
Quality Control & Follow-Up
- Monitor job progress to ensure deadlines are met and issues are resolved proactively
- Identify and troubleshoot workflow challenges or discrepancies
- Follow up on outstanding tasks, missing information, and post-event needs
Qualifications
- Strong organizational and multitasking skills with the ability to manage a high volume of accounts
- Excellent written and verbal communication skills
- Ability to work independently while collaborating across multiple teams
- Detail-oriented with strong problem-solving abilities
- Experience in account management, project coordination, or customer service preferred
- Proficiency in email communication and data tracking systems (CRM or workflow tools a plus)
