Position Summary
Valstone Ventures, LLC is seeking a highly organized and proactive Office Manager to oversee day‑to‑day office operations for a growing construction company. This role serves as the administrative and operational backbone of the organization, supporting project teams, executives, accountants, and field staff.
The Office Manager ensures the office runs efficiently, company systems are organized, and internal processes support project execution—not slow it down.
Key Responsibilities
Office Operations & Administration
- Manage daily office operations, supplies, vendors, and facilities
- Serve as the primary point of contact for internal administrative needs
- Maintain organized digital and physical filing systems
- Track office expenses and support basic budget controls
- Coordinate office calendars, meetings, and company events
Construction Operations Support
- Support Project Managers, APMs, and Project Administrators with:
- Document coordination
- File management
- Internal reporting
- Assist with onboarding and offboarding of employees and subcontractors
- Help ensure field staff have the tools, forms, and access needed to operate efficiently
- Maintain internal procedures and checklists for admin workflows
Accounting & Financial Support (Non‑CPA Role)
- Support accounting by:
- Collecting invoices, receipts, and expense documentation
- Assisting with expense tracking and coding prep
- Tracking insurance certificates, licenses, and compliance documents
- Coordinate with the company’s accountant or bookkeeping service
- Assist with payroll support (timesheets, labor confirmations, submissions)
Note: This role supports accounting—it does not replace a Project Accountant or CPA.
HR & People Support
- Coordinate new hire onboarding (paperwork, systems access, orientation scheduling)
- Maintain employee records and certifications
- Track PTO, holidays, and basic HR documentation
- Act as a professional, neutral point of contact for office staff
Systems & Technology Support
- Help administer company systems such as:
- Procore (user access, document organization—not project control)
- Microsoft 365 / SharePoint
- Accounting and CRM systems
- Maintain clean folder structures and naming conventions
- Assist leadership with reporting and information retrieval
Executive Support
- Provide administrative support to company leadership as needed
- Assist with document preparation, correspondence, and special projects
- Help keep leadership focused by absorbing administrative friction
What This Role Does NOT Own
To maintain proper controls, the Office Manager does not:
- Approve contracts or commitments
- Authorize payments or pay applications
- Make project cost decisions
- Supervise field staff performance
Qualifications
- 3–7 years of experience as an Office Manager or Senior Administrator
- Experience in construction, real estate, or professional services preferred
- Strong organizational and multitasking skills
- Proficiency with:
- Microsoft Office (Excel, Word, Outlook)
- Cloud file systems (SharePoint / OneDrive)
- Accounting Software (QuickBooks, Intuit)
- Project Management Software (Procore, Microsoft Projects)
- Comfortable working with accounting and project management teams
- Professional written and verbal communication skills
- High level of discretion and reliability
- Bilingual (English / Spanish) a plus
