Key Responsibilities and Duties

  • Greet clients and ensure a warm, welcoming office environment.

Financial Support and Processing:

  • Accounts Payable and Receivable: Manage and process invoices, and payments. Assist with deposits and monitor accounts.
  • Bookkeeping and Data Entry: Accurately enter financial data, transactions, and accounting information into software programs (e.g., QuickBooks, Excel, proprietary systems).
  • Reconciliation: Assist with bank and account reconciliations to ensure accuracy.
  • Reporting: Compile, organize, and prepare financial reports, spreadsheets, and documentation for audits, financial statements, and budget tracking.
  • Document Management: Organize, manage, and securely file financial documents (both physical and digital), such as receipts, contracts, and reports.

Administrative and Clerical Support:

  • Office Coordination: Coordinate team meetings, manage office resources, and ensure the office is organized.
  • Communication: Answer and screen telephone calls, respond to emails, and act as a liaison between the office and external vendors/clients.
  • Clerical Tasks: Perform general clerical duties, including copying, scanning, faxing, and handling mail distribution.
  • Scheduling : Manage calendars, schedule appointments,
  • Customer Service: Provide professional customer service and respond to internal and external inquiries regarding financial policies or procedures.

 

Qualifications and Skills

 

Education and Experience:

  • High school diploma or GED equivalent is typically the minimum requirement.
  • An Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field is often preferred.
  • Previous experience (1-3 years) in an administrative, clerical, or finance-related role is commonly required.

Required Skills:

  • Financial/Technical Acuity:
    • Basic knowledge of general accounting and bookkeeping principles (e.g., Accounts Payable, Accounts Receivable).
    • Proficiency in Microsoft Office Suite, especially Microsoft Excel (for spreadsheets, data analysis, and reporting).
    • Familiarity with financial and accounting software (e.g., QuickBooks).
  • Core Competencies:
    • Meticulous Attention to Detail and Accuracy: Essential for handling financial data and preventing errors.
    • Strong Organizational and Time-Management Skills: Ability to prioritize tasks, meet strict deadlines, and manage a high volume of work.
    • Excellent Communication Skills: Professional demeanor and the ability to communicate clearly, both verbally and in writing.
    • Integrity and Confidentiality: Discretion in handling sensitive financial information.
    • Problem-Solving: Ability to identify discrepancies and proactively resolve issues.
    • Self-Starter: Ability to work both independently and collaboratively as part of a team.
