Surgery Scheduler – Obstetrics & Gynecology Office
Position Summary
We are seeking a highly organized, compassionate, and detail-oriented Surgery Scheduler to join our busy OB/GYN practice. This role is responsible for coordinating surgical procedures, communicating with patients, obtaining authorizations from insurance companies, and ensuring a smooth surgical scheduling process from start to finish.
The ideal candidate has prior medical office or surgical scheduling experience, strong communication skills, and the ability to manage multiple priorities in a fast-paced healthcare environment.
Responsibilities
- Schedule gynecologic surgeries and procedures with hospitals, surgery centers, and physicians
- Coordinate pre-operative appointments
- Obtain insurance authorizations and verify benefits
- Communicate surgery dates, instructions, and preparation details to patients
- Maintain accurate documentation in the electronic medical record (EMR) system
- Coordinate with providers, operating rooms, anesthesia teams, and hospital staff
- Ensure all required labs, imaging, consents, and clearances are completed prior to surgery
- Answer patient questions regarding scheduling and surgical preparation
- Manage scheduling changes, cancellations, and urgent add-ons efficiently
- Maintain confidentiality and HIPAA compliance at all times
Qualifications
- Previous experience in medical scheduling or surgery scheduling preferred
- Experience in OB/GYN, gynecology, women’s health, or surgical specialties strongly preferred
- Knowledge of insurance verification and prior authorizations
- Familiarity with EMR systems and Microsoft Office
- Excellent organizational and multitasking skills
- Strong phone etiquette and patient communication skills
- Ability to work independently and collaboratively with clinical staff
- High attention to detail and accuracy
Preferred Skills
- Knowledge of CPT/ICD-10 coding basics
- Experience working with hospitals and ambulatory surgery centers
