We’re seeking an experienced and detail-driven HIMS Manager to lead our document management operations and ensure the integrity, accuracy, and security of Valley-Wide Health Systems’ electronic health records.
The HIMS Manager reports to the Director of Compliance & Risk Management and is responsible for managing enterprise-wide document management operations. This position ensures compliance with legal, regulatory, and organizational standards for creating, maintaining, and securing electronic health records (EHR). The HIMS Manager provides leadership, oversees staff performance, and ensures that processes run efficiently while maintaining the highest standards of data integrity and confidentiality.
Responsibilities & Essential Functions:
- Manage daily operations of the document management department, ensuring compliance with all legal and regulatory requirements.
- Serve as the subject matter expert on document management operations, including prepping, scanning, and indexing guidelines.
- Oversee the maintenance and support of incoming and outgoing patient health information.
- Direct and supervise assigned personnel, including performance evaluations, scheduling, orientation, and training.
- Recommend and implement staffing actions such as hires, transfers, promotions, and disciplinary actions.
- Coordinate the assignment of departmental tasks and resolve technical and operational issues as they arise.
- Ensure compliance with HIPAA, Joint Commission, DPH, and other applicable regulatory agencies.
- Monitor document accuracy, storage, and retrieval processes to maintain integrity of electronic health records.
- Verify completeness and authorization of record releases and determine when additional approvals are required prior to releasing PHI.
- Maintain PHI disclosure logs and generate billing for release of information when appropriate.
- Adhere to Colorado State Law concerning maintenance and destruction of PHI, including public notification requirements.
- Collaborate with the HIPAA Specialist and Privacy Officer to ensure organizational standards align with governmental regulations.
- Stay up to date on privacy legislation and provide staff training to maintain compliance.
- Participate in risk committee meetings to identify and mitigate potential HIPAA-related risks.
- Monitor filing and indexing accuracy of scanned and electronic medical record documents.
- Ensure all patient reports, results, and records are filed into the EHR in a timely and accurate manner.
- Oversee internal and external audit processes to ensure compliance with policies and legal standards.
- Participate in quality improvement initiatives and incorporate process enhancements into daily operations.
- Ensure departmental compliance with safety, infection control, and organizational policies and procedures.
- Act as liaison to Medical Staff, Administration, and Clinic Staff regarding document management processes and concerns.
- Provide timely communication and issue resolution for end-users related to EHR and document management.
- Instruct and manage the Document Management Program, keeping all related materials current.
- Coordinate with leadership on the development and revision of department policies and procedures.
- Scan and maintain sensitive or confidential organizational documents for record keeping and audits.
Qualifications & Skills:
- Bachelor’s degree in Business, Health Information Management, or related field preferred (or equivalent experience).
- 2 years of experience in health information management or document management in a medical setting.
- 1 years of supervisory or management experience.
- Knowledge of medical terminology and EHR systems.
- Intermediate proficiency with Microsoft Word, Excel, and Outlook.
- Strong organizational, prioritization, and time management skills.
- Exceptional attention to detail and commitment to accuracy.
- Ability to communicate professionally, both in person and over the phone.
- Knowledge of quality control, productivity management, and HIM best practices preferred.
