Valley View Surgery Center is seeking a detail-oriented, customer-focused Medical Records Clerk / Registration Clerk to join our team. This position plays a vital role in ensuring accurate patient registration, maintaining medical records, and providing exceptional service to patients, physicians, and staff.
Position Summary
The Medical Records Clerk / Registration Clerk is responsible for processing patient medical records, preparing and maintaining paper and electronic charts, registering patients, verifying demographic and insurance information, and providing outstanding customer service. The ideal candidate is organized, accurate, professional, and able to thrive in a fast-paced healthcare environment.
Reports To: Business Office Manager, Administrator
Essential Responsibilities Medical Records
- Process requests for medical records and prepare records for release.
- Assemble, prepare, file, scan, and archive medical records.
- Maintain accurate electronic and paper medical records.
- Retrieve dictated reports from transcription services and physician offices.
- Provide copies of medical records to physician offices and billing as requested.
- Ensure records are complete, accurate, and properly filed.
- Validates chart on electronic health system.
Registration
- Register patients accurately and efficiently.
- Verify patient demographics, insurance coverage, and required documentation.
- Obtain necessary signatures and complete registration paperwork.
- Collect and update patient information while maintaining confidentiality.
- Answer and route incoming telephone calls professionally.
- Provide exceptional customer service to patients, families, and visitors.
Compliance & Quality
- Maintain strict patient confidentiality and HIPAA compliance.
- Follow all infection control and workplace safety policies.
- Report incidents according to facility procedures.
- Participate in quality improvement initiatives and mandatory education.
- Maintain professional appearance, attendance, and punctuality.
Qualifications
Education
- High school diploma or equivalent required.
Experience
- Minimum of two years of experience in medical records, patient registration, or a related healthcare office role.
- Ambulatory surgery center experience preferred.
Skills & Qualifications

- Strong organizational and time-management abilities
- High level of accuracy and attention to detail
- Computer proficiency, including electronic medical records (EMR)
- Experience using scanners, printers, photocopiers, and other office equipment
