About the Role
As our Patient Care Coordinator, you are the heartbeat of our clinic. You will be the first point of contact for our clients, ensuring they feel welcomed, supported, and heard from the moment they reach out.
The Reality of the Roll: Our office is vibrant and fast-paced. You will often utilize multiple software programs simultaneously while managing frequent interruptions (like a ringing phone while greeting a client). We're looking for someone who can comfortably check in a client face-to-face while the office phone is ringing, without losing your composure or your warm demeanor.
Key Responsibilities
- Client Experience: Greet clients warmly in person and over the phone; provide clear information on clinic policies and procedures.
- Scheduling & Coordination: Schedule appointments accurately to optimize therapist calendars; communicate scheduling changes effectively to the clinical team.
- Insurance & Admin: Verify insurance benefits, assist with authorizations, and maintain accurate client records in our Electronic Health Record (EHR) system. (Happy to train!)
- Office Operations: Handle data entry, manage emails, maintain office organization, and collaborate with team members to ensure smooth daily operations.
What You Bring to the Team
- The Multi-Tasking Mindset: Proven ability to manage a busy healthcare office with multiple providers and frequent interruptions without losing your cool.
- Exceptional Communication: Stellar interpersonal skills, a compassionate demeanor, and a strong customer-service focus.
- Tech Savvy: Prior experience using tech in a professional office setting. Proficiency in Microsoft Office Suite & Google Workspace. Experience with medical software systems is a huge plus!
- Detail-Oriented: High accuracy in data entry, scheduling, and time management.
- Professionalism: A reliable team player with a professional attitude and appearance.
