Job Description – Part Coordinator

Position Summary

The parts Coordinator is responsible for the accurate receiving, stocking, organization, kitting, and delivery of materials needed to support Cenweld's commercial vehicle production and service operations. This position plays an important role in ensuring technicians have the correct parts and materials available when needed while maintaining an organized and accurate inventory.

The parts Coordinator receives incoming shipments, verifies parts against packing documentation, stocks products in designated locations, monitors commonly used consumable inventory, and prepares parts for upcoming production jobs. When primary material-handling responsibilities are complete, this position will also support vehicle intake, lot activities, and vehicle cleaning/detailing as needed.

Success in this role requires strong organizational skills, attention to detail, a sense of urgency, and a willingness to support multiple areas of the operation.

Key Responsibilities

Receiving & Incoming Materials

· Receive incoming parts, materials, equipment, and supplies.

· Unpack shipments and verify contents against packing slips and other receiving documentation.

· Confirm part numbers, descriptions, quantities, and condition of received materials.

· Identify shortages, overages, incorrect parts, or damaged materials and report discrepancies promptly.

· Assist with accurately receiving materials into the company's inventory system as required.

· Label and stock incoming materials in designated warehouse locations.

· Ensure received materials are promptly processed and put away so receiving and staging areas remain organized.

· Maintain receiving paperwork and documentation according to company procedures.

Stocking & Inventory Organization

· Maintain organized, clearly identified storage locations for parts, supplies, and materials.

· Ensure materials are stored safely and in a manner that prevents damage.

· Return unused production materials to the appropriate inventory locations.

· Help maintain accurate inventory locations and quantities.

· Identify misplaced, unidentified, excess, or damaged inventory and work with appropriate personnel to resolve issues.

· Maintain a clean, safe, and organized warehouse and material storage area.

· Support cycle counts and physical inventory activities as assigned.

Consumable Inventory Management

· Monitor inventory levels of frequently used consumable products and maintenance items, including:

o Oil filters

o Air filters

o Fasteners and hardware

o Electrical supplies

o Other commonly used production and service materials

· Identify items approaching established minimum stock levels.

· Communicate replenishment needs to the appropriate Purchasing personnel before shortages occur.

· Help maintain appropriate storage and organization of consumable products.

· Identify unusual usage or recurring shortages that may require changes to stocking levels.

Production Order Review & Kitting

· Review upcoming job orders and production requirements to identify required parts and materials.

· Pull the correct parts and quantities for scheduled production jobs.

· Organize and kit materials by job so technicians have what they need when work is scheduled to begin.

· Verify picked parts against job requirements before releasing the kit to Production.

· Clearly identify kits with the appropriate job, vehicle, or work-order information.

· Identify missing parts or material shortages during the kitting process and communicate them promptly.

· Work ahead of the immediate production schedule whenever possible to identify shortages before they affect technicians or customer commitments.

Material Delivery & Production Support

· Deliver completed material kits to designated production areas or workstations.

· Coordinate with Production personnel regarding the timing and location of material delivery.

· Respond to reasonable production material requests while maintaining scheduled receiving, kitting, and inventory priorities.

· Assist with locating materials when discrepancies occur.

· Retrieve unused materials from Production and return them to the appropriate inventory location.

· Help minimize technician time spent searching for, retrieving, or returning materials.

Vehicle Intake & Lot Support

When primary material-handling responsibilities are complete, the Material Handler will assist with vehicle-related activities as needed.

Responsibilities may include:

· Assist with receiving incoming commercial vehicles.

· Verify vehicle identification information and assist with intake documentation.

· Inspect vehicles for obvious damage or condition concerns during intake.

· Assist with parking and staging vehicles in designated lot locations.

· Move vehicles around the facility as needed.

· Pull and stage vehicles for upcoming production or service work.

· Assist with maintaining an organized and safe vehicle lot.

· Support vehicle audits or other lot activities as assigned.

Vehicle Cleaning & Detailing Support

· Wash commercial vehicles and truck bodies as needed.

· Clean vehicle interiors prior to customer delivery.

· Remove dirt, debris, fingerprints, labels, and other materials from completed vehicles.

· Assist with final vehicle preparation to ensure a clean and professional appearance.

· Maintain cleaning equipment and supplies in an orderly manner.

· Support other basic detailing activities as assigned.

Safety & Equipment Operation

· Follow all company safety procedures and PPE requirements.

· Safely operate forklifts, pallet jacks, carts, and other material-handling equipment when trained and authorized.

· Follow safe lifting and material-handling practices.

· Maintain clear aisles, exits, fire equipment access, and work areas.

· Immediately report unsafe conditions, damaged equipment, spills, or other hazards.

· Follow safe driving practices when moving customer or company vehicles.

Teamwork & Continuous Improvement

· Work closely with Production, Purchasing, Operations, and other departments to maintain efficient material flow.

· Communicate material shortages, inventory discrepancies, and receiving issues promptly.

· Identify opportunities to improve warehouse organization, material storage, kitting, and delivery processes.

· Participate in 5S and other workplace organization initiatives.

· Assist other operational areas when primary responsibilities are current and business needs require additional support.

· Maintain a positive, team-oriented attitude and willingness to help where needed.

Qualifications:

Qualifications

Education & Experience

· High school diploma or GED preferred.

· Previous warehouse, material handling, inventory, manufacturing, or automotive experience preferred.

· Experience working in a manufacturing, commercial vehicle, automotive, or service environment is a plus.

· Previous forklift or material-handling equipment experience preferred.

Required Skills & Abilities

· Strong organizational skills and attention to detail.

· Ability to accurately match part numbers, quantities, and descriptions to packing slips and job orders.

· Basic computer skills and ability to learn inventory and ERP systems.

· Ability to prioritize work based on production needs.

· Strong communication and teamwork skills.

· Ability to work independently with appropriate direction.

· Basic mechanical aptitude and familiarity with automotive or commercial vehicle parts preferred.

· Willingness to perform a combination of warehouse, production-support, vehicle movement, and cleaning activities.

· Valid driver's license and acceptable driving record required.

Physical Requirements

· Ability to stand and walk for extended periods throughout the workday.

· Ability to bend, reach, kneel, climb, and perform repetitive material-handling activities.

· Ability to lift and carry up to 50 pounds regularly and use appropriate equipment or assistance for heavier items.

· Ability to frequently move between the warehouse, production floor, vehicle lot, and wash/detail areas.

· Ability to climb into and out of commercial vehicles as needed.
