Description
The Marketing Operations Specialist is responsible for the infrastructure, data, and operational execution that enables effective marketing across the organization. This role focuses on marketing systems, data hygiene, list management, compliance, workflows, and performance reporting, ensuring campaigns executed by channel and strategy roles are accurate, compliant, scalable, and measurable.
This position does not own channel strategy, campaign ideation, messaging, or optimization. Instead, it serves as the operational backbone of the marketing function-supporting campaign delivery through accurate data, controlled processes, and reliable systems.
The ideal candidate is highly detail-oriented, process-driven, and analytically minded, with strong experience in marketing technologies, data governance, and regulated environments.
Responsibilities
Marketing Data & List Management
- Owns member data hygiene for marketing use, including data accuracy, normalization, suppression logic, and integrity checks.
- Manages marketing lists, audiences, and segmentation logic, ensuring proper governance, documentation, and reuse.
- Establishes and maintains list standards, naming conventions, and approval processes to prevent overlap, errors, and compliance risk.
- Partners with IT, Data, and Compliance to ensure appropriate data sourcing, usage permissions, and retention practices.
Marketing Systems & Automation Support
- Serves as the primary administrator for marketing automation and CRM tools (e.g., Jack Henry MCN support functions), excluding campaign strategy and content decisions.
- Manages contact models, data extensions, automations, and system integrations to ensure reliable campaign execution.
- Documents system processes and provides operational guidance for internal users.
Campaign Operations & Execution Support
- Supports campaign execution by handling data pulls, list builds, QA, and deployment readiness, ensuring accuracy and compliance before launch.
- Coordinates production timelines, file transfers, and technical setup for email, direct mail, and digital communications.
- Partners with Channel Marketing and creative teams to ensure campaigns are launched correctly and on schedule.
Compliance & Risk Management
- Oversees marketing compliance workflows, including required disclosures, approvals, record retention, and regulatory alignment.
- Ensures all marketing operations follow Valley First Credit Union policies, the Bank Secrecy Act, Patriot Act, and other applicable regulations.
- Maintains audit-ready documentation for campaigns, data usage, and approvals.
Reporting & Performance Measurement
- Develops and maintains standardized marketing performance reports and dashboards (e.g., delivery, response, conversion, list performance).
- Tracks operational KPIs such as deployment accuracy, turnaround times, data quality metrics, and campaign execution success.
- Provides insights to support decision-making without owning campaign optimization or channel strategy.
Process Improvement & Operational Excellence
- Identifies inefficiencies in marketing workflows and implements process improvements to increase speed, accuracy, and scalability.
- Maintains marketing calendars from an operational and resourcing perspective, ensuring feasibility and coordination across teams.
- Supports the Director of Marketing with special projects, documentation, and operational planning.
Education, Experience & Skills
The ideal candidate will be a proactive, analytical, and creative thinker with a passion for marketing and a commitment to delivering high-quality work that supports the growth and expansion of Valley First Credit Union.
- 5 years of relevant experience in marketing operations, marketing technology, or data-driven marketing roles; bachelor's degree preferred
- Strong understanding of financial services or credit union environments
- Proven experience with marketing databases, audience segmentation, and automation platforms
- High level of technical aptitude and ability to work with complex systems and datasets
- Exceptional attention to detail and commitment to data accuracy
- Strong analytical, organizational, and problem-solving skills
- Ability to manage multiple priorities in a deadline-driven environment
- Clear written and verbal communication skills
- Professional discretion when handling confidential member and business data
- Ability to work independently or collaboratively with minimal supervision
Pay Range & Work Schedule:
- This position is a Tier 9, with a pay rate ranging from $29.00 to $40.00 per hour
- The anticipated pay rate for new hires is between the low-end and midpoint of the range, depending on experience
- The pay rates listed above are based upon the geographic location of our Administrative Offices in Modesto, CA using the greater Central Valley area for our pay range calculations
- Full Time, typically 36-40 hours per week.
- Flexibility to occasionally work early or late hours, typically with advance notice

- The incumbent is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; typing; viewing a computer screen and reading.
- Climb/descend stairs in an emergency situation.
- Operate routine office equipment including personal computers, copy machines, mobile and landline phones, calculator and others as needed.
- Maintain working on a computer for six to eight hours daily, on average.
- Work extended hours if required or requested by management.
- Regular, reliable and timely attendance.
Working Conditions
Must be able to routinely perform work indoors in climate-controlled shared work area with minimal noise.
