POSITION TITLE: Office Assistant – School Based

POSITION GOAL:
Provide support to school office. Interact with parents and students in a professional manner, while answering phones, receiving visitors, providing assistance and responding to general inquiries.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Receive, communicate and interact with all visitors entering the school in a professional manner.
- Answer all telephone calls. Take messages and/or respond to inquiries from employees, parents, students, and others, and refer, when necessary, to appropriate staff member or department.
- Communicate and interact with all district personnel in a courteous, friendly and professional manner.
- Perform a variety of duties to include, but not limited to, typing documents and reports, photocopying, faxing, filing and collating.
- Assist in processing the daily absentee report for the entire school.
- Assist in maintaining records of all students entering, transferring and withdrawing from the school district.
- Assist the school administrative staff.
- Call parents regarding the reason for the absence of their child when requested.
- Assist in utilizing student software and transportation software in the daily operation of the school.
- Process all incoming and outgoing U.S. Postal Service mail.
- Receive, sort and distribute all intra-district incoming and outgoing mail.
- Accept and distribute all deliveries made to the main office.
- Regular attendance is an essential function of this position.
- Maintain a procedure manual for this department, reviewing annually and submit any revisions to supervisor at time of evaluation.

QUALIFICATIONS:
To successfully perform this position, a person must be able to perform each essential duty satisfactorily. The qualification requirements listed below represent minimum levels of educational achievement, training, skill and/or ability necessary.
- High school diploma and general office experience
- Excellent phone etiquette
- Possess exceptional interpersonal communication skills
- Ability to work independently on assigned tasks, as well as to accept direction on given assignments
- Ability to multi-task
- Strong office skills, including organizational skills, with the ability to meet deadlines and maintain confidentiality
- Able to communicate clearly and concisely, both orally and in writing
- Knowledge of Microsoft Office software, including Excel, Word, Outlook and internet navigation
- Current Act 24 (82), Act 34, Act 114, Act 151, Act 168 clearances and pre-employment drug testing and physical with TB test required.
- The person, while performing in this position, will be required to:
- Use hands to finger, handle or feel objects, tools or controls, and to talk and hear;
- Sit, and occasionally be required to stand, walk, stoop, kneel and crouch;
- Have specific vision abilities, to include close vision and the ability to adjust focus;
- Subject to inside office environmental conditions with moderate noise level;
- Have the ability to lift and/or move up to 25 pounds; and
- Possess effective communication, judgment, mathematical, planning and human relations skills, and to meet deadlines with severe time constraints.
TERMS OF EMPLOYMENT:
- 10 months per year; 5 hours per day (part time).
- Salary and benefits according to the agreement between the Board of School Directors and the Hazleton Area Education Support Personnel Association for the part-time paraprofessionals.
