Duties
- Greet visitors, clients, and staff with professionalism and warmth, ensuring a positive first impression.
- Answer multi-line phone systems promptly and courteously, directing calls efficiently to the appropriate departments or personnel.
- Manage appointment scheduling and calendar management for staff or providers using digital tools like Google Workspace or Microsoft Office.
- Handle data entry, filing, and document proofreading to maintain accurate records and support office workflows.
- Support office management tasks such as inventory control, supply ordering, and basic bookkeeping using QuickBooks or similar software.
- Maintain organization of the front desk area, including filing systems, mail distribution, and office supplies inventory.
- Provide excellent customer support by addressing inquiries via phone or in person, demonstrating proper phone etiquette and professionalism.
- Assist with clerical duties such as copying, scanning, and preparing documents for meetings or patient appointments (especially relevant for medical or dental reception roles).
Skills
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Strong organizational skills with the ability to multitask effectively in a busy environment.
