Duties

  • Greet visitors, clients, and staff with professionalism and warmth, ensuring a positive first impression.
  • Answer multi-line phone systems promptly and courteously, directing calls efficiently to the appropriate departments or personnel.
  • Manage appointment scheduling and calendar management for staff or providers using digital tools like Google Workspace or Microsoft Office.
  • Handle data entry, filing, and document proofreading to maintain accurate records and support office workflows.
  • Support office management tasks such as inventory control, supply ordering, and basic bookkeeping using QuickBooks or similar software.
  • Maintain organization of the front desk area, including filing systems, mail distribution, and office supplies inventory.
  • Provide excellent customer support by addressing inquiries via phone or in person, demonstrating proper phone etiquette and professionalism.
  • Assist with clerical duties such as copying, scanning, and preparing documents for meetings or patient appointments (especially relevant for medical or dental reception roles).

Skills

  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
  • Strong organizational skills with the ability to multitask effectively in a busy environment.
  • Excellent communication skills in both English and bilingual capabilities to serve diverse clientele.
  • Experience with multi-line phone systems and professional phone etiquette.
  • Knowledge of office management procedures including filing systems, data entry, and record keeping.
  • Familiarity with QuickBooks for bookkeeping tasks is a plus.
  • Ability to perform typing quickly and accurately while maintaining attention to detail.
  • Experience in customer service roles with a focus on providing support and resolving inquiries efficiently.
  • Basic understanding of medical or dental receptionist duties is advantageous but not required; training will be provided if necessary.
  • Strong time management skills to prioritize tasks effectively throughout the workday.
