Client Engagement Specialist – Front Desk

Valley Community Services Board is seeking a Client Engagement Specialist to support front desk operations at our Sanger’s Lane location. As one of the first points of contact for individuals accessing Valley CSB services, you'll help create a welcoming experience while ensuring clients receive timely, accurate information and assistance.

In this role, you'll balance client check-ins, phone support, appointment scheduling, registration, and other administrative responsibilities in a busy behavioral health environment. This position is a great fit for someone who enjoys helping others, pays close attention to details, and can confidently manage multiple priorities throughout the day.

What You'll Do

As a Client Engagement Specialist, you'll help clients navigate the administrative side of accessing behavioral health services while supporting the clinical and administrative teams that serve them. Responsibilities include:

  • Welcome and assist clients at the front desk, complete appointment check-ins, monitor the lobby, collect payments, and respond to questions.
  • Answer and route incoming calls, including connecting individuals with urgent or crisis needs to Emergency Services according to agency procedures.
  • Schedule, confirm, reschedule, and cancel Same Day Access and Outpatient Behavioral Health appointments.
  • Complete client registrations and accurately maintain demographic, contact, insurance, and financial information in the electronic health record (EHR).
  • Help identify individuals who may be eligible for Medicaid and connect them with assistance and available resources.
  • Coordinate intake scheduling with appropriately credentialed providers based on insurance and established workflows.
  • Administer client urine drug screens and provide other administrative support as needed.
  • Document client contacts, outreach, and scheduling activities accurately and promptly.
  • Communicate effectively with clients, staff, and outside organizations to help support continuity of care.
  • Maintain confidentiality and follow applicable DBHDS, DMAS, HIPAA, 42 CFR Part 2, and agency requirements.

Minimum Qualifications

  • High school diploma or equivalent required

Preferred Qualifications

For this position, the most competitive candidates will possess:

  • Associate’s degree or higher in human services, healthcare administration, or a related field.
  • Experience in customer service, administrative support, scheduling, or healthcare access, preferably in a behavioral health or social services setting.
  • Experience using electronic health record systems and standard office technology.
  • Experience working in a high-volume clinical or service environment.
  • Knowledge of DBHDS, DMAS, Medicaid, or related behavioral health services systems.
  • Fastidious detail management and organizational skills are strongly preferred.
  • An appreciation for and support of diversity in all its forms, and a demonstrated ability to interact with or serve individuals with diverse backgrounds, including clients, coworkers, and members of the community.
  • Excellent written and oral communication skills.
  • Ability to collaborate with others and successfully overcome interpersonal obstacles in a professional manner.
  • An eagerness to invest in one’s community through service.
