ADMINISTRATIVE SPECIALIST I
SUMMARY
The Administrative Specialist I is responsible for supporting the business, registrar, and compliance functions of Valley College and assists the Valley College administration staff with business, technology, and compliance initiatives and projects.
RESPONSIBILITIES AND DUTIES
- Perform compliance checks on Admissions and Academic documents in CampusVue, such as Enrollment Agreements, Credit Transfer Worksheets, and SAP documentation.
- Perform compliance checks on the accuracy of CampusVue data and assist in data verification.
- Assists with revising rotation schedules for students due to failed courses and leave of absences.
- Assists with registering students for class each block.
- Assists with creating and distributing the class rosters for each campus/program each block.
- Assists with auditing credit transfer documentation and issuing credit transfers on student transcripts.
- Assists with billing students? tuition and fees every block.
- Create Official Diplomas for Graduation and Copy Diplomas for Valley College?s Transcript Server.
- Assist with reviewing academic files as part of Quarterly File Review.
- Other duties as assigned.

WORK ENVIRONMENT
This job operates in an academic office setting. It is an onsite position. This role routinely uses standard office equipment, including a laptop, printer, photocopier, and smartphone.
TRAVEL
This position may need to have occasional travel.
PHYSICAL DEMANDS
This office role involves extended periods of sitting and basic movement. It may require occasional lifting and reaching. Reasonable accommodation requests will be considered per ADA guidelines.
POSITION TYPE/EXPECTED HOURS OF WORK
This is a full-time salary position. The days and hours of work are Monday ? Friday, 40 hours per week. The standard work week is Monday through Friday, 8:00 a.m. to 5 p.m. Occasional evening and weekend work may be required as job duties demand.
EDUCATION and PRIOR WORK EXPERIENCE
- A Bachelor?s Degree in Business Administration or related field is preferred. A combination of three years of work experience in a related field and some post-secondary education may be acceptable should the incumbent not hold a bachelor?s degree.
- Data entry skills and typing speed of 50 words per minute required.
- Must have good interpersonal and communication skills.
- Must provide timely follow up of action items and great attention to detail.
