Valcourt Building Services is a premier provider of waterproofing, restoration, and window cleaning services. Valcourt supports commercial office buildings, high-rise residential buildings, parking garages, stadiums, hospitality facilities, healthcare buildings, and other commercial properties.
We are seeking a highly organized and detail-oriented Service Coordinator / Scheduling Coordinator to support daily service operations. This role is responsible for coordinating service requests, scheduling field crews, communicating with clients, tracking work orders, maintaining service records, and assisting management with administrative and operational support.
The ideal candidate will have excellent communication skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced service environment. This position requires someone who is proactive, professional, and comfortable working with clients, field employees, vendors, and internal teams.
To be successful in this role, the Service Coordinator / Scheduling Coordinator should be able to manage scheduling, follow-ups, documentation, and communication with accuracy and urgency. Most importantly, this individual should have a genuine desire to create a seamless and positive experience for both clients and team members.
Service Coordinator / Scheduling Coordinator Responsibilities
• Coordinate service requests, work orders, and scheduling for field crews and technicians.
• Communicate with clients regarding service needs, scheduling updates, project status, and follow-ups.
• Assist management with daily operational and administrative tasks.
• Track job progress, update internal systems, and maintain accurate service records.
• Support dispatching by coordinating crews, materials, equipment, and job details.
• Prepare reports, documents, proposals, and other service-related paperwork as needed.
• Answer phone calls, respond to emails, and route requests to the appropriate team member.
• Communicate professionally with clients, vendors, field employees, and internal departments.
• Assist with billing, purchase orders, proposals, and job documentation when needed.
• Create and manage Salesforce leads, opportunities, and Closed Won status updates.
• Maintain PX scheduling and communication, including calendar management.
• Serve as a liaison for service records within PX.
• Support PX invoicing and related documentation.
• Monitor schedules and anticipate potential conflicts, client needs, or operational issues.
• Help ensure crews have the necessary job information, materials, and scheduling details.
• Maintain a helpful, positive, and professional presence in the workplace.
Qualifications
• Prior service coordination, scheduling, dispatch, administrative, or construction office experience preferred.
• Experience with Salesforce lead creation, opportunity management, and Closed Won status updates preferred.
• Experience with PX scheduling, communication, service records, calendar management, and invoicing preferred.
• Strong communication and customer service skills.
• Excellent computer skills, including Microsoft Office and general data entry.
• Strong attention to detail and ability to stay organized.
• Ability to multitask and manage competing priorities in a fast-paced environment.
• Construction, restoration, waterproofing, window cleaning, or service industry experience preferred.
• Multilingual abilities may be preferred or required.
• Proactive mindset with a desire to create a positive experience for clients and team members.
