SUMMARY

The Student Information System Specialist works under minimal direction and exercises independent judgment and initiative and is responsible for training, coordination, implementation, state reporting, and software support of the Student Information System (SIS).

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, are non-exhaustive and may be supplemented. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

  • Creates and maintains FTE determination.
  • Ensures accurate attendance setup and calculations.
  • Supports issues related to SIS for all District staff.
  • Serves as a resource to resolve SIS related problems.
  • Works closely with the Student Data Team and Site Technology staff.
  • Works with Student Information System Administrator to customize network software applications to meet the needs of the users and administration.
  • Works with Student Data Support and Training Specialist to help coordinate a wide variety of trainings for Office Managers, Attendance Clerks, Incident Management staff, etc.
  • Serves as a resource to resolve SIS related problems with Principals, Teachers, Parents, Office Managers, and Attendance Clerks, along with assisting client districts/charters.
  • Works with Student Information System Administrator to verify student membership and attendance data between the SIS and AzEDS to ensure proper funding for District.
  • Works with Student Information System Administrator to ensure proper CTED setup in SIS and reconciliation of CTED data.
  • Responsible for working with all District departments to ensure proper reporting of programs to AzEDS including SPED, ELL, Gifted, Title I, Lunch, McKinney-Vento, Foster, Military, Chronic Illness, Homebound, CTED, etc.
  • Works with SPED to ensure proper setup for Ventana Program (EDP), Project Focus & Project SEARCH in the SIS and reconciles the data with the state.
  • Works with Student Data Support and Training Specialist to ensure proper AOI reporting and SIS setup.
  • Interface with Az Department of Education staff on student accountability compliance.
  • Attends SIS, Az Department of Education and ASCUS trainings on a regular basis.
  • Stays up-to date on rules and regulations to ensure accurate state reporting.
  • Assists in coordination of the annual AZ PSUG Conference as well as provides training for the conference.
  • Works with Student Information System Administrator in organizing the annual Federal/State Audits for the District regarding student Accountability.
  • Recommends and implements changes in procedures to ensure the consistency of data entry in the SIS.
  • Assists in integrating the use of other web-based software within the SIS.
  • Works with District finance staff to verify enrollment figures and funding levels.
  • Maintains and creates staff accounts in the SIS.
  • Ensures data integrity within the SIS by maintaining user security and role settings.
  • Communicates with Principals, Counselors and District Administrative Staff on SIS updates, school calendars, and schedules.
  • Oversees the proper maintenance of courses and sections in the SIS.
  • Assists schools in configuring schedules and attendance setup.
  • Assists Site Technology Techs and Counselors with GPA calculations.
  • Creates and oversees the district-wide SIS objects reports.
  • Oversees Civil Rights Data Collection (CRDC) and submission.
  • Responsible for submitting Incident Data and verifying accurate data on the state portal.
  • Responds to data collection requests by collecting, analyzing and preparing data reports for administration to assist them in making data driven decisions.

SUPERVISORY RESPONSIBILITIES

This position does not have supervisory responsibilities.

QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

EDUCATION and/or EXPERIENCE

  • High school diploma or GED. A bachelor’s degree in education, business administration, public administration, or information technology, with appropriate education coursework is preferred.
  • Minimum 2 years’ experience with K-12 school finance, State Reporting data collection and State reporting, or other relevant student database system.
  • Or an equivalent combination of relevant education, training, and/or experience as approved by the Superintendent.

  • Familiarity with HTML, Visual PST, and SQL
  • Proven ability to work in a fast-paced, demanding environment, on multiple projects simultaneously both as a team member and individually.
  • Ability to work effectively with others of diverse backgrounds and various education levels and to establish and maintain effective working relationships as necessitated
    by work assignments.
  • Ability to train and communicate with non-technical staff including the ability to present complex concepts in easily understood graphical or visual presentations.
  • Flexibility to travel, as required.

Ability to read, analyze, and interpret a variety of correspondence, reports, forms, safety rules, operating and maintenance instructions, procedure manuals, technical procedures, and government regulations. Ability to prepare correspondence, reports, forms, evaluations, and policies; and to respond to common inquiries or complaints using prescribed formats and conforming to all rules of punctuation, grammar, diction, and style. Ability to effectively communicate to a variety of audiences, including employees, students, parents, community members, Governing Board, and the general public.

CERTIFICATES, LICENSES, REGISTRATIONS
Valid Arizona driver’s license and proof of Arizona minimum automobile insurance.

Specific vision abilities required by this job include close vision, color vision, peripheral vision, and ability to adjust focus.

WORK ENVIRONMENT

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The primary work environment is indoors. The noise level in the work environment is usually moderate.

TRAVEL
This position requires the employee to be able to travel efficiently between the District Office and local or regional destinations. Most travel is between the District Office and its schools and/or work sites. Occasional travel in and out-of-state by car or airplane.
