Noble Management Company is seeking a highly organized and detail-oriented Staff Accountant / Office Administrator to support our growing organization. This role plays a critical part in accounting operations, payroll administration, accounts receivable, and general office support across multiple business lines, including property management, marina operations, and rental businesses.
Job Type: Hourly; 30-40 hours/week during training, high season (summer); 10-20 hours/week during off season (fall to spring)
Location: In office but can work remote part of the time.
Key Responsibilities
Expense Tracking & Credit Card Reconciliations
· Manage collection, scanning, and categorization of receipts
· Accurately record reimbursable expenses and add to customer invoices
· Detail and reconcile expenses on company credit cards
· Train staff on proper receipt and expense recordkeeping procedures
Payroll Documentation & Timesheet Management
· Support onboarding for newly hired or rehired employees
· Collect, distribute, and maintain payroll processing documentation
· Monitor daily timesheet submissions in the timekeeping system
· Review accuracy of timesheets, edit descriptions, and log lunch breaks
· Track employee hours, sick time, and paid time off using internal spreadsheets
· Train employees on payroll and timekeeping procedures
Accounts Receivable & Customer Billing
· Create and manage job estimates in QuickBooks Online
· Issue invoices to internal and external customers
· Facilitate invoice approval workflows
· Follow up on past-due invoices and communicate issues to management
· Prepare and present monthly reports of outstanding receivables
Full-Cycle Bookkeeping (Affiliated Operations)
· Perform various day to day accounting duties for one or more affiliated companies.
General Office Administration
· Greet and assist walk-in customers, vendors, and staff
· Copy, scan, and organize documents as needed
· Manage incoming mail distribution
· Develop and maintain written office process documentation
Qualifications
· Experience in accounting, bookkeeping, or office administration
· Strong attention to detail and organizational skills
· Proficiency with QuickBooks (Online and Desktop preferred)
· Ability to learn new systems quickly (Avantio, Stellar, Molo, Airtable, WordPress)
· Comfortable handling multiple priorities across departments
· Strong communication skills and customer-service mindset
· Open to working with AI tools
