Administrative Coordinator
Under general supervision, this position is responsible for performing a variety of administrative and office support functions to ensure the daily operations of the department run efficiently. Primary responsibilities include participating in meetings with the project managers, construction supervisors and subcontractors.. Document and maintain meeting minutes, action lists and punch lists, assist coordination and execution of action items. The position reports to Project Management team and works closely with Accounting and Operations Managers.
Duties
- Performs a variety of administrative and office support functions to ensure the daily operations of the division run efficiently.
- Handles incoming telephone calls to Shuttleworth and responds to requests for information.
- Performs routine administrative duties such as maintaining office supplies and processing mail
- Support one or more managers including scheduling meetings and maintaining calendars to ensure their time is managed efficiently.
- Maintain division shared drive and physical files to ensure they remain organized and current.
- Order and maintain inventory of supplies stock to ensure supplies are available when needed.
Skills
- Must have knowledge of commonly used administrative and office concepts, practices and procedures
- Excellent organizational, time management, and interpersonal skills
- Strong customer service focus
- Demonstrated proficiency with MS Office Suite and the ability to learn new software
- Exceptional problem-solving skills with consistent follow through
- Ability to maintain confidentiality.
- Excellent collaboration, verbal and written communication skills
- Ability to work well with all levels of staff as well as external customers

Pay: $40,000 - $46,000 per year
