Job Title: Human Resources Generalist (VACI)

Position Type: W-2

Reports To: Chief of Staff

Location: Remote- Must provide own computer, secure internet, and working space

Compensation: $85,000 USD  per year


Position Summary:

The Human Resources Generalist owns and runs the full HR function for VACI in a remote environment, spanning HR operations, payroll, benefits, compliance, and employee relations. This role is the core owner of the HR System (Bamboo HR), including setup, configuration, reporting, and security groups, and serves as both the strategic HR partner to leadership and the hands-on operator executing the day-to-day. 

The HR Generalist independently leads all people operations, requiring someone equally comfortable consulting business leaders on compliance and talent strategy and processing multiple payroll runs. This is an ideal role for someone who loves breadth, is willing to dig in and figure it out, and takes satisfaction in both building HR strategy and making the day-to-day of HR tick.

HR Operations & Systems 

  • Owns day-to-day people operations, including employee transactions, onboarding, offboarding, and employee inquiries 
  • Owns HR System management, including setup, configuration, reporting, security groups, and workflows 
  • Owns reporting and the HR dashboard; generates metrics and reports for senior management 
  • Audits and improves HR processes through simplification and automation 
  • Handles administrative tasks for onboarding, new hire orientation, exit interviews, and day-to-day software maintenance 
  • Maintains employee records and ensures certifications are up to date 
  • Performs HR file audits to ensure all required documents are collected and maintained in employee files 

Payroll 

  • Independently processes multi-state bi-weekly payroll for the entity under strict deadlines, ensuring all entries and system outputs comply with state and federal laws 
  • Processes off-cycle payrolls, separation payments, adjustments, and sales commission payrolls 
  • Sets up deductions for support orders, garnishments, levies, and other required deductions 
  • Coordinates with new states for setup of required state taxes and TPAs; inputs and updates data in HRIS 
  • Reviews submitted timecards, flags anomalies, and ensures time-off requests are approved/denied prior to submitting payroll 
  • Provides after-payroll reports to finance and management 

Employee Relations & Compliance 

  • Acts as a resource to employees, providing employee relations support, guidance on and interpretation of company policies, and ensuring employee perspectives are heard 
  • Consults business leaders on talent and compliance implications of employee actions (terminations, pay raises, disciplinary actions, promotions) 
  • Supports compliance by maintaining personnel documentation, policies/handbook, and ensuring compliance with local, state, and federal laws via process and filings 
  • Ensures compliance with USCIS Form I-9 employment eligibility verification; periodically audits Forms I-9 for expired documents requiring renewal 
  • Develops and maintains the affirmative action program; files the EEO-1 report annually; maintains records and logs to conform to EEO regulations 
  • Maintains working knowledge of compliance and regulatory concerns, industry trends, and best practices 

Talent & Benefits 

  • Partners with hiring managers to identify personnel needs and develop detailed, compliant job descriptions 
  • Onboards new hires and creates offers of employment, ensuring starting pay aligns with the appropriate comp band percentile 
  • Ensures background checks are processed through HRIS and reviews any status flagged for review 
  • Administers benefits and leave programs 
  • Prepares and delivers internal communications regarding policy changes, updates, and engagement 
  • Assists with completing VOEs and HR-related surveys 

 

 

Requirements & Qualifications: 

  • Strong technical HR knowledge (e.g., compensation, employment law, FLSA, FMLA, employee relations, performance management, training, and development) 
  • Knowledge of multi-state payroll, tax and wage laws, and online payroll operating systems 
  • Strong organizational and leadership skills with demonstrated ability to manage conflicting priorities in a changing environment 
  • Strong project management skills, coordinating multiple concurrent complex and high-priority projects with internal and external dependencies 
  • Proven track record of building strong working relationships with business and HR partners 
  • Excellent verbal and written communication skills 
  • Independent and pro-active, with the ability to work both autonomously and as part of a team in a fast-paced environment 
  • Ability to maintain confidentiality and remain objective while working with sensitive materials 
  • Experience with HRIS software (setup, configuration, reporting) 
  • Ability to use the full capabilities of Excel for data analysis 
  • Competency with Google Workspace 
  • Excellent mathematical and analytical skills with exceptional attention to detail 

Physical Demands:   

  • Ability to stand, sit, use of hands to handle, feel, or reach with hands and arms 
  • Ability to lift and/ or move up to 25 pounds 
  • Specific vision abilities required by this job include close vision and distance vision 
  • Prolonged periods of sitting
