What are the responsibilities and job description for the Executive Assistant position at UTIMCO?
The Executive Assistant is responsible for providing high-level administrative support to the Legal & Compliance, Risk Management, and Asset Allocation teams. This position conducts research, prepares statistical reports, handles information requests, and performs clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. The Executive Assistant works independently with minimal supervision or direction.
Broad Responsibilities Include:
- Coordinate team’s activities on a day-to-day basis
- Coordinate team travel (domestic and international)
- Communicate between UTIMCO and its existing general partners, as well as with prospective general partners
- Build and maintain strong working relationships with teams and UTIMCO to ensure effective cross-office coordination and communication
- Implementing evolving technological solutions and advancements, including AI
- Execute various other administrative duties as required
Legal & Compliance Team (50%):
- Track and coordinate law firm and vendor invoices
- Manage and track key deadlines and events timelines
- Prepare and build team meeting agendas
- Attend and engage in team meetings
- Assist tracking of team priorities throughout the year
- Maintain various logs including statistical and compliance information
- Compile organization data and build presentations for semi-annual meetings
- Manage team documents, files, and external information requests
- Track vendor legal workflow; coordinate investment pipeline with investment teams as needed
Risk Management Team (30%):
- Track quarterly invoices from Risk Provider
- Manage key deadlines and events on team calendar
- Build team agendas
- Assist in tracking progress in team priorities throughout the year
- Manage team documents and assist in external requests for information (e.g. audit)
Asset Allocation Team (20%):
- Coordinate and schedule meetings for knowledge sharing with UTIMCO Strategic Partners
- Manage and plan logistics of semi-annual UTIMCO Strategic Partnership Summits
- Assist with evaluating, budgeting and contracting associated with Independent Research Providers
Requirements:
- 8 years of administrative experience in a professional office setting
- Bachelor’s degree preferred
- Advanced proficiency in Microsoft Office Suite and data visualization (PowerPoint, Outlook, Excel, Word)
- Strong attention to detail and follow-through
- Collaborative, organized, adaptable and resourceful
- Ability to manage competing priorities with tact and efficiency
- Excellent verbal and written communication skills
