Position Overview
The Import–Export Coordinator plays a key role in ensuring the timely and efficient movement of cargo by collaborating with project managers, carriers, and customers. This role is responsible for coordinating shipments from domestic and international origins to destinations, preparing documentation, and ensuring activities meet internal standards and compliance requirements. They will also build and maintain strong relationships with vendors, customers, and partners to support efficient, seamless operations.
Key Responsibilities
- Coordinate import and export shipments, including routing freight and liaising with domestic/international carriers and overseas offices.
- Manage import clearance processes, ensuring timely follow-up and compliance with all regulatory requirements.
- Prepare and provide accurate freight quotations (inland, air, and ocean) to customers.
- Communicate effectively with U.S. importers/exporters, suppliers, foreign agents, and consignees via email and phone.
- Book cargo with shipping lines, airlines, trucking companies, and consolidators while maintaining strong vendor relationships.
- Prepare and issue shipping documentation, including Dock Receipts, Bills of Lading (MB/L, HB/L), and Air Waybills (AWB).
- File required regulatory documentation, including FMC rate filings and AES export declarations.
- Monitor, track, and update shipment status daily, ensuring customers and partners are kept informed.
- Review shipping and trade documents for accuracy (e.g., country of origin, terms of sale, value) and resolve discrepancies or compliance issues.
- Perform accurate data entry, billing, and financial reconciliation tasks, and support additional duties as assigned by management.
Qualifications
- Minimum 2 years of experience required in the freight forwarding industry
- Strong organizational and communication skills
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office
- Knowledge of CargoWise a plus
- College degree preferred but not required if candidate has experience.
